Provide administrative support to CEO. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.
PRIMARY RESPONSIBILITIES
Answer telephones and transfer to appropriate staff member.
Meet and greet clients and visitors.
Create and modify documents using Microsoft Office.
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
Maintain hard copy and electronic filing system.
Sign for and distribute UPS/Fed Ex/Airborne packages.
Research, price, and purchase office furniture and supplies.
Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys.
Setup and coordinate meetings and conferences.
Maintain and distribute staff weekly schedules.
Collect and maintain PC inventory.
Support staff in assigned project based work.
Other duties as assigned.
Requirements:
ADDITIONAL RESPONSIBILITIES
Provide office orientation for new employees.
Setup accommodation and entertainment arrangements for company visitors.
Developing social media strategies – channel, content, targets, brand guidelines – both B2C and B2B. Power user of social monitoring tools
Experience of identifying influencers, through social monitoring tools and custom analysis
Strong analytical skills and understanding of social media evaluation methods and platforms.
Understanding of developing social media funnels and tying activity back to lead generation.
Channel / community management skills – Facebook, Twitter, Linkedin.
Experience in preparing outreach lists and materials and in contacting bloggers directly.
Bachelor's degree in advertising, marketing, communications, or equivalent, relevant experience
What you will be doing:
Work with media team to develop and manage media plans for campaigns targeting business-to-business audiences
Work with broadcast, print and digital planning teams to integrate their planning into the overall campaign budgets
Own all program details, negotiations, client communications, and media authorizations related to assigned clients
Serve as the liaison between the media department and account management teams on day-to-day program management
Work with accounting department to manage accounts payable and receivables related to assigned clients, ensuring all media placements are properly placed within our accounting system, and resolving billing discrepancies
Work with team representatives worldwide to manage global accounts
KNOWLEDGE AND SKILL REQUIREMENTS
Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
