In accordance with established procedures, provides and organizes administrative support for a major business sector or for the Project Manager/Program Director of a major project task force. May also be assigned as administrative support for a major geographic area. Completes a variety of routine and non-routine tasks and projects in accordance with company policies and procedures, or as directed by immediate supervisor.
SPECIFIC RESPONSIBILITIES:
May be the primary liaison between two or more groups, ensuring timely and accurate distribution of information and materials.
Researches and compiles statistical information and related data, produces special or recurring reports, and completes special projects as assigned. May maintain and monitor the operating budget as directed.
Establishes and maintains document archiving and retrieval systems, prioritizing the flow of project reports/correspondence and ensuring timeliness in the handling, processing, and resolution of requests, requirements, or problems.
Establishes and maintains follow-up files and confidential files for immediate supervisor.
Keeps informed concerning company, unit, and project policies and procedures. May make recommendations for additions or revisions to existing policies. Serves as focal point for gathering newly-published policies and the dissemination of materials.
May coordinate the merit budget paperwork flow. Establishes a follow-up file and ensures that appropriate documents are processed in a timely manner.
May represent immediate supervisor at project-related or other meetings as directed.
Performs other responsibilities associated with this position as may be appropriate.
Qualifications: 2-year degree in Business (or equivalent) and 3-5 years of experience in an administrative capacity, preferably in the assigned area of specialty.
Taking minutes, typing notes from engineers written notes, compiling and organizing reports. Typing skills is required.
SKILLS/COMPETENCIES:
Strong written and oral communication, organizational, and interpersonal skills are required. Additionally, a demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required. A working knowledge of company policies and procedures is preferred
