Department: Store Ops Support
Provide administrative support to department, manager. Responsibilities include general administrative duties, receptionist and project based work. Project a professional company image through in-person and phone interaction.
Requirements:
Support
-Provide professional administrative support to director and their departments.
- Decide how to best allocate support based on business needs.
-Prioritize incoming and outgoing correspondence in a timely response.
-Manage the direct reports calendar; scheduling meetings, appointments, conference calls, trips, functions etc.
-Opening and distributing incoming mail.
-Provide daily assistance on long-term projects.
-Maintain invoices
-Act on behalf of direct-report in his/her absence, using appropriate judgement. Be the main contact for all internal and external visitors.
-Provides necessary information and reports as needed.
-Maintain and update miscellaneous books and manuals.
-Utilize AUSA systems to run required reports as needed.
-Open change requests and ASR’s.
-Responsible for securing and distributing confidential materials.
-Must be able to maintain the confidential nature of all designated materials.
- Filters requests from various internal and external parties regarding Directors availability and input.
System Knowledge
-Utilize Microsoft office programs to create various documents, spreadsheets, and presentations.
-Create, organize and maintains files.
-Monitor and order and distribute department supplies.
-Maintain office equipment and the supplies realted to it.
Competencies:
Advanced Microsoft Office Suite skills including Excel and Access. Strong attention to detail and a customer focus.
