Novell Administrative Assistant: Assist the department to operate efficiently by performing internal administrative functions for the group and designated manager/director/VP.
Objectives: - Provide a positive interface to those within the department as well as to individuals dealing with the organization both internally and externally - Ensure the proper and efficient flow of information and correspondence to and from the assigned departments, as well as within the organization - Assist designated manager with secretarial functions such as correspondence, filing, organization, and general paperwork, with minimal or no supervision - Coordinate administrative and personnel functions, which will enable the department to run more smoothly, such as budget, travel, expense reports, etc. - Schedule and prioritize tasks at hand - Act as an information source due to an excellent knowledge of Novell's policies and procedures - Develop procedures for new assignments, and act as a resource for other non-exempt employees
Essential Functions: - Prepare purchase orders and requisition - Track budget for assigned groups - Coordinate travel arrangements for department and manager - Coordinate meetings and manage calendar for manager and others - File expense reports in online system - Responsible for department's supply inventory and reorders as needed - Prepare presentation and/or tradeshow materials - Answer incoming calls and be able to route the calls and/or answer specific questions - Write letters/memos and other means of written correspondence - Perform data entry and retrieval functions on computer - Establish and work within large filing systems - Distribute mail to appropriate parties within organization
Required Skills: - Associates degree, Bachelor's degree preferred - Minimum of 3+ years related experience - Minimum typing speed of 80+ wpm - Excellent working knowledge of word-processing and spreadsheet applications - Excellent interpersonal skills - Excellent writing and communication skills - Good telephone etiquette - Ability to organize and prioritize schedule and projects with minimal or no supervision - This position has moderate to high autonomy as work is generally not reviewed upon completion
