Administrative Assistant
Organization: The Alliance of Californians for Community Empowerment (ACCE) is dedicated to raising the voices of everyday Californians, neighborhood by neighborhood, so that future generations have stronger communities and expanded opportunities. ACCE is a statewide community organization working with thousands of members to create transformative change by helping ordinary citizens to organize and take action. Some of ACCEs priority program areas include: Defending vital services by reforming Californias broken fiscal system Giving our children the opportunity to succeed Fighting to save homes; and Improving access to health care Please note that ACCE does not operate community services directly. Rather, we work directly in neighborhoods with community leaders to advocate for the change they want to see in their communities. The Position: ACCE seeks an Administrative Assistant to provide administrative support to ACCEs operations and senior management team. This is a critical position, serving at the front door of the organization and providing welcoming and helpful direction to visitors. Activities include, but are not limited to: Receive and direct incoming calls, take reliable message and/or route to appropriate staff in an efficient and courteous manner. Screen and respond appropriately to inquiries relating to our priority program areas or questions relating to membership. Greet and direct visitors for meetings, conferences, trainings, etc. Facilitate and process monthly office supply orders and track expenditures. Coordinate travel, lodging and space reservation for meetings involving staff and/or community leaders from multiple offices. Update database with mailing list corrections and programmatic data. Prepare correspondence, charts, check requests and other documents for the operations and senior management team as needed. Open, sort, distribute and deliver mail and packages. Recording any incoming checks or payments as necessary. Handle various human resource duties such as recording new hires and preparing payroll batches for the operations department as needed. Assist with the shipping and handling of ACCE mailings and/or publications to internal and/or external recipients. Handle general clerical duties including copying, faxing, filing and mailings. Serve as liaison to the building maintenance for work-orders and related requests on behalf of staff and/or visitors. Other job-related duties as assigned. Qualifications: Prior experience in an administrative support capacity, preferably in a nonprofit environment. Ability to maintain composure while balancing multiple priorities in a busy, fast-paced environment. Excellent organization, verbal and written communication skills and attention to detail required. Experience with MS Office required. Strong typing and data entry skills required. Ability to work well with others in a team environment. Ability to maintain a high degree of confidentiality. Bachelors degree or equivalent work experience given preference.
