Position Summary:
This position is responsible for providing complex administrative support for department management; will help coordinate the work of support staff and oversee projects and other duties as assigned.
This position will require physical work and at times may require high energy endurance in stressful situations.
This position is not responsible for providing care to patients.
Essential Functions:
ï‚· Assists department with business planning, goal setting and tracking. ï‚· Maintains budget records, such as paying bills, ordering products / equipment, reconciling accounts and preparing expenditure reports and statements. ï‚· Schedules, plans and coordinates work actions for department management and support staff. ï‚· Collects, organizes and analyzes data for specialized projects and reports. ï‚· Coordinates the collection, preparation, and dissemination of agendas, meeting minutes, operating reports including but not limited to regulatory support documents / documentation. ï‚· Assists with the implementation of department and University plans, policies, procedures and processes. ï‚· Provides administrative support to department management and support staff by scheduling appointments, coordinating meetings, conferences, trainings and maintaining and ordering office supplies. ï‚· Supports department goals and operations ï‚· Actively participates in ongoing environmental tours (i.e., hazard rounds). ï‚· Maintains specified functions, materials, training and response duties for the department and for the Emergency Operations Center (EOC). ï‚· Will help coordinate, maintain and perform inventory. ï‚· May be asked to come in during off hours, holidays or weekends in the event of an emergency. Knowledge / Skills / Abilities: ï‚· Demonstrated potential ability to perform the essential functions as outlined above. ï‚· Demonstrated human relations and effective communication skills. ï‚· Demonstrated knowledge of basic bookkeeping practices. ï‚· Accountable to maintain professionalism in conduct, attitude, demeanor, and appearance. ï‚· Demonstrated computer skills (MS Office). ï‚· Must be able to lift up to 30 lbs.
Qualifications: Required:
ï‚·Five or more years of full-time secretarial experience. ï‚· Computer skills including but not limited to MS Office.
Preferred:
ï‚· Basic Emergency Management skills or background.
