Administrative / Executive Assistant

Our client is the World's top investment bank and is looking for an Administrative Assistant to work within their Investment Management Department.




This Administrative Assistant position is a group support role, and requires an energetic administrator with a strong multi-tasking ability and outstanding attention to detail.  The current Administrator has been promoted to provide 1:1 support to the group’s Partner, so will be available to provide some handover.  Teamwork is essential in this role; the group has approximately 55 staff including 6 Senior MD’s, and support is divided between two Administrative Assistants.  


  

The Market Solutions Group (MSG) provides the firm's private wealth clients with specialized advisory, structuring, and execution services across different asset classes in the global capital markets. MSG is comprised of seven teams focused on particular market segments. The group includes specialized traders, quantitative strategists, research analysts and marketing professionals. The group leverages the bank’s proprietary risk management systems, valuation tools and execution platforms.


Responsibilities:


• Provides administrative support to a large group.

• Handles a high volume of phones calls and interacts with high level business leaders in a professional and effective manner.

• Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.

• Coordinates a high volume of domestic and international travel arrangements and processes expense reports. 

• Prepares and distributes divisional correspondence, memos, letters, reports or other documents as requested. 

• Maintains understanding of firm policies and handles certain issues independently.

• Manages monthly invoices and arranges for payment.

• Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events. 

• Orders supplies and keeps inventory well-stocked.



Requirements:

• Ability to handle highly sensitive, confidential and non-routine information.

• Must have excellent judgment; independent thinker and resourceful.

• Strong proficiency in MS Word, Excel, PowerPoint and Outlook. 

• Team player with a positive attitude.

• Highest degree of integrity, professionalism, diplomacy and discretion required. 

• Prefer 4+ years of experience.
