Administrative Support-Membership (Full-Time) New Canaan YMCA

Looking for full time support in our membership department to work on a variety of member-related support functions. Must have very good computer skills, able to learn new software system which supports membership data base, be a team player in our dynamic member relations atmosphere, and have excellent customer service skills.

GENERAL FUNCTION

 Under the direction of the Membership Operations & Communications Director, provide necessary support to the membership department.

PRINCIPAL ACTIVITIES

GENERAL:

 

  • Be proficient in the TOP 10 Trinexum Functions and update training manual as required.
  • Provide additional coverage for Membership Relations Staff shifts on an “as needed” basis.
  • Input data necessary to complete month end membership reports; generate additional reports as necessary.
  • Communicate with members, maintain records and process “on hold” (i.e. medicals and travel) memberships, insurance verification letters, special memberships and special membership payments.
  • Operate, demonstrate and document proper care and use of all office machines: i.e. computers, printers, meters, copy machines, fax, scanners, and any other equipment available in the business office to perform duties.
  • General attention to office appearance as it relates to cleanliness, orderliness, and efficiency.

  • Assist the Member Relations Department in matters related to programs, membership, registration, and policy.
  • Perform other duties as designated by the supervisor.
  • Job Description may be changed at any time by supervisor.

 

  E-PAY MEMBERSHIP:

 

  • Input membership bank draft data on a daily basis.
  • Prepare and process the bank draft bi-weekly and ensure its accuracy.
  • Attend to bank problems; i.e. insufficient funds, change of accounts/bank, refunds.
  • Complete adjustments for returned bank drafts.
  • Maintain accurate records regarding “on hold” and special memberships.
  • Communicate any bank draft changes and procedures to Directors, as necessary.
  • Input new membership fees annually in computer (July).
  • Prepare Membership Category sheet (July).
  • Manage and maintain membership records and reports.

   MEMBERSHIP RECRUITMENT/RETENTION DATA/DATABASE MAINTENANCE:

 

  • Enter membership information for new and renewing members.
  • Assist front desk on an “as needed” basis.
  • Maintain membership database ( i.e. upgrades, downgrades, terminations, suspended memberships).
  • Input data and communicate with members regarding membership upgrades, downgrades, terminations, on-hold memberships, out-of-age reports and special membership payments.
  • Process and maintain special membership transactions and records such as short-term memberships.
  • Assist Assistant Membership Director in the preparation and review of membership and/or financial reports.
  • Contact and regularly communicate with members regarding special membership situations, issues or concerns.
  • Send our annual rate increase letter to bank draft members.
  • Send renewal annual letters and assist in non-renewal follow-up phone calls.
  • Send out “thank you” letters to members and other necessary communication or correspondence.
  • Participate and assist in the planning of New Member Orientations, Luncheons, Open Houses, and any membership Service meetings as requested by supervisor.
  • Provide members with necessary attendance documentation, as requested.
  • Assist with scheduling and communications to Member Relations or Relationship Managers.
  • Maintain accurate files and documentation for student memberships (college) and family memberships (dependent tax proof).
  • Communicate with members regularly regarding membership issues.


Requirements:

KNOW-HOW

 

  • Overall knowledge and understanding of the Association’s mission, practices and policies.
  • Must be able to effectively communicate and work with diverse groups of people.
  • Attention to detail and great organizational skills are necessary.
  • Must have the ability to exercise discretion and use independent judgment.
  • Staff should be proficient in the use of Microsoft Office and Net Ventures software or be adept in general computer software usage.
