DUTIES:
Reporting to the Facilities Maintenance Manager, incumbent will:
support subcontractor registration and processing for construction and service contracts.
assist VARC front desk receptionist with subcontractor processing for training.
support the Facilities Management & Logistics work control database (Maximo) that plans, schedule, and tracks all Lab facilities maintenance and services.
support the Work Order Coordinator regarding the entry of Preventative Maintenance activities for all trades in the Maximo database.
support Construction Project review meetings by recording and distributing minutes and action items to the review team
accept work requests, make work assignments and initiate repairs by issuing work orders to service providers under contract.
respond to calls to the Facilities Management & Logistics Work Center. Evaluate the incoming work order requests, determining resources required to complete the work and create a service request in an electronic database for the required work.
coordinate work orders to assure Facilities Management is responsive to laboratory needs and work is scheduled and resources are allocated in a timely manner. Works directly with Facilities staff personnel to ensure project closures and status updates are accurate and current in the Maximo database.
enter time, materials, diagnosis, craftsman comments, and quality assurance notes for work orders as recorded on printed work orders or subcontractor service tickets.
close out work orders and service requests when all work, invoices, and quality assurance has been captured in the database and no there is follow-up action.
Perform other such duties, tasks, and responsibilities as assigned by management in support of Laboratory goals and objectives.

Experience/Education Required High school diploma, post-high school business/secretarial training, plus 2 years progressively more responsible experience in an administrative capacity or an equivalent combination of education, experience and specific training.
Excellent problem solving, interpersonal, customer service, organizational, and communication skills.
Demonstrated proficiency with computer and software applications including MS Office and Maximo.
Facilities maintenance or building construction knowledge; work practices, work scheduling and planning; as well as general safety and environmental practices desired.
Candidate must be self motivated and capable of working independently in the execution of assigned tasks.

Physical Requirements:
Majority of the work is performed indoors in an office environment. To perform field investigations, the incumbent must be physically capable of climbing ladders and scaffolding, bending, stooping, etc. At times, the employee may be working in areas where radioactive and oxygen-displacing materials are present - special training is required and provided to enter these work areas.
