Mosaic, one of North Americas' largest and most successful experiential marketing companies and licensed talent agencies, is currently seeking a highly driven, professional individual for the salaried position of Administrative Office Manager to join our XM team in Chicago, IL.
In this role, you will work directly with the local management team. This position requires day-to-day support of the managers while at the same time developing and managing a solid office environment.
The individual will deal with a diverse group of vendors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload. You will be required to adjust to changing priorities while displaying a high level of professionalism. Ability to communicate in a positive manner with all levels of personnel is essential in this role.
We are looking for an individual with a good working knowledge of office practices and procedures, techniques in record keeping systems and light experience in accounting.
Primary Duties and Responsibilities:
- Coordinate travel, meetings and luncheons
- Partner with Executive Admins in Dallas & Toronto regarding schedule/calendar
- Work with limited supervision to provide general office support, maintain personnel records, procure office supplies/materials, and develop/implement effective office processes and procedures
- Process and submit expense reports
- Develop internal and external relations
- Ability to handle sensitive information with the highest degree of integrity
- Act as local representative for HR and Accounting
- Provide backup for corporate office, including responsibility for accounts receivable/payable and other functions as needed
- Manage Power Point presentation development and organization of case studies and presentation files
