Position Information Working Title Assistant to the Vice President for Assessment and Operations Requisition Number 10110 Department Office of VP for Student Development Additional Department Not Assigned Pay Band C4 FLSA Status Exempt Job Category Professional Job Type Full-time Months Per Year 12 Hours Per Week Exempt Full-time Purpose Seattle University, a premier Jesuit Catholic institution, seeks an innovative leader to serve as a key member of a dynamic Division of Student development in the position of Assistant to the Vice President for Assessment and Operations. Reporting to the Vice President for Student Development the Assistant serves as a member of the senior leadership team, has responsibility for divisional budget management and provides functional supervision for department heads on budget leadership and assessment efforts. In addition, this leadership role acts on behalf of the Vice President on assigned projects, represents the Division of Student Development and the Vice President on a variety of campus-wide committees, and provides critical leadership for administrative functions that contribute to creating an outstanding experience of community for students. Essential Job Functions Budget Oversight: * Provide leadership for Student Development(SD) Division through the annual budget process, preparing division's budget with priorities and follow up. * Maintains authority over all SD budgets. * Serves as liaison with HR to negotiate salary or classification changes in the division. * Oversight of all budgets within the division, meeting regularly with department directors to be sure they are on track with their budgets. * Oversee, coordinate, and approve all expenditures related to the capital equipment budget. * Approve all expenditures in the division that exceed $1,000. * Be knowledgeable of university financial procedures and processes to effectively function as division's resource person to answer questions and problem-solve issues. * Provide on-going training and consultation regarding financial procedures and budget management for professional staff and student groups. * Serve as the divisional representative in contract negotiations for university vending. Divisional Operations: * Serve as primary point of contact for projects related to facility modifications, improvements, and remodeling projects for the division. * Supervise the Administrative Coordinator for the Office of Student Development. * Manage student health insurance policies for the university. * Negotiate readership contract for the university. * Coordinate with HR to develop, implement and review recruitment, selection, and performance evaluation processes for the division. * Coordinate with the university's HR Department and Student Financial Services to resolve payroll issues within the division. * Ensure that the performance evaluation process is successfully completed for the division each year. * Approve all Position Vacancy Forms to initiate search processes for vacancies within Vice President's area. * Participate and provide leadership in strategic planning, budgeting, and communication, and problem solving for division. * Assume a leadership role in campus wide initiatives and/or searches. Research and Evaluation management: * Provide leadership for the division so each department has ability to assess their own programs and services. * Provide models and instruments of assessment, workshops and in-services as needed. * Act as central coordinating agent for data gathered by SD units. * Initiate, monitor and catalog departmental level assessment plans and activities. * Supervise and coordinate SD university-wide research activities. * Coordinate response to data requests made of the division. Analyze Data, Produce Reports and Disseminate Information: * Aggregate data gathered by SD units into a report to illustrate division's performance in the areas of research and assessment. * Prepare reports, newsletters, and presentations as a way of sharing important findings with faculty, staff, students, and parents. * Analyze data, interpret and report in ways that effectively communicate experience of students. Professional Development and Service: * Engage in activities that increase knowledge in areas of student learning, assessment, data analysis and interpretation. * Serve as standing member of Divisional Assessment Working Group and ensure that minutes, agendas, etc. are disseminated to members and posted on the web. Serve on other division and university-wide committees and councils as needed. Serve as assessment resource for others in University. * Collaborate closely with Student Development Administration masters program in the College of Education. * Deliver presentations regarding professional development and assessment as needed within division, university and to external groups. * Solve problems creatively and work in collaboration with others. Marginal Job Functions Performs other duties as assigned. Minimum Qualifications * Bachelor's degree in higher education and student affairs administration or equivalent, and a minimum of four (4) or more years experience working in a campus environment OR an equivalent combination of education and experience sufficient to perform the essential functions of the job as listed above. * Experience with budget oversight and strategic planning. * An understanding of and appreciation for student development and services in Jesuit higher education. Passion for working with students and intentionality in supporting their success. * A demonstrated commitment to diversity and social justice in keeping with the university's mission, vision and values. * Possess a working knowledge of research and assessment. * Demonstrated supervisory and interpersonal skills. * Effective communication, interpersonal, and team-building skills. * Commitment to the development and mentoring of divisional staff. * Strong oral and written communication skills. * This position requires a criminal history background check. Preferred Qualifications * Master's degree very strongly preferred, terminal degree preferred. * Seven to ten years experience in student development in higher education, or closely-related field. * Experience in managing and conducting research related to college students. * Demonstrated multicultural competency and ability to foster an inclusive climate for students, staff, and faculty. * Outstanding record of successfully moving an organization forward through strategic budget planning. * Experience working in a division of student affairs at increasing levels of responsibility. * Experience in educational settings and familiarity with student learning processes, statistical analysis of data, and excellent writing and speaking skills * Demonstrated ability to work in a group setting and as a team member and also to work alone and with little supervision. * Must be able to work with a diverse clientele in a collaborative manner. * Must demonstrate responsible fiscal and resource management. * Must be able to show leadership in the area of assessment and evaluation of student development service and student learning. * Committed to a developmental philosophy * Ability to plan, implement, evaluate, and report activities. Ability to communicate effectively in writing and to prepare written documents. Ability to communicate orally, both in person and by telephone. Ability to maintain a consistent and dependable work schedule.
