Position Summary
Under limited supervision provides administrative support to one or more system executives (SVP and above). Performs duties of a highly confidential nature that require comprehensive knowledge of the organizational policies and operations. Coordinates executive schedule, tracks workflow, ensures paperwork is completed efficiently and appropriate follow up is provided. May directly supervise lower level clerical or secretarial staff.


- Responsibilities:
Acts as an intermediary for executives. Independently responds to inquiries or refers callers to others as appropriate. Composes confidential correspondence, memoranda and presentation material for formal presentations. Reviews and summarizes documents as required.

- Coordinates and maintains executive schedules. Schedules and coordinates meetings, appointments and travel arrangements. Compiles briefing material, agenda and minutes for meetings. Acts as point-person for follow-up on meetings, projects and initiatives.

- Compiles, analyzes and verifies complex financial and/or statistical data. Prepares financial/ operational reports, analyzes progress and adverse trends and provides recommendations. Responsible for tracking deadlines and reporting requirements.

- Monitors, maintains and balances departmental budget, grants, special funds and expense accounts. Prepares projections and budgetary recommendations and identifies and resolves anomalies. Authorizes expenditure for petty cash distribution and other departmental funds.

- Oversees special projects and assignments. Contributes to tasks, tracks progress and ensures work is completed in conjunction with project team. Leads the development, implementation and coordination of special events.

Qualifications:
- High School Diploma or equivalent (GED) required. Associates Degree is preferred.

- Five years progressively responsible secretarial experience including executive level administrative responsibilities.

- Experience working in a business, professional or health care environment is preferred.

- PC literate with advanced proficiency in Microsoft Office Suite and Internet. Excellent typing and data entry skills are required.
