Executive Administrative Assistant

Provide a wide range of administrative and executive support related tasks by conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.




  • 5+ years experience in an Executive Administrative Assistant position.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Excellent calendar management skills and exceedingly well organized.
  • Ability to interact with all levels of employees in a fast paced environment.
  • Ability to remain flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
  • Must have a high level of written and verbal communication skills.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Ability to operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.



Requirements:


  • Manage and maintain District Managers schedules and emails, requiring interaction with internal and external executives and City staff and elected officials.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Schedules meetings and organizes special events                           
  • Handles calls and uses discretion in making appointments



  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • File and retrieve corporate documents, records, and reports.
  • Prepare responses to correspondence containing routine inquiries.
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Performs other duties as assigned.
