Executive Administrator to the CEO
Fast growing West Michigan company with a national network of private PK-12 schools seeks a self-motivated and highly professional Executive Administrator to support the CEO and management team.
The successful candidate will have a positive “can-do" attitude and must understand the critical value of being trustworthy and confidential. He/she must be able to work in a very fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. The ability to anticipate needs and proactively address issues is critical. A positive “can-do" attitude is necessary.
We expect the successful candidate to:
Promote the company image internally and externally.
Ensure appropriate communication between the CEO, Sr. VP and key internal and external managers, field operations, and employees.
Provide critical and daily support to the CEO and Sr. VP of Operations, including managing calendars, calls, travel requirements, mail and meetings.
Assess the urgency and importance of situations and take the appropriate action to determine the necessary level of executive involvement.
Compose correspondence on both routine and complex matters.
Schedule and organize complex activities such as corporate events, meetings, travel requirements, and department activities on an as required basis.
Summarize content of incoming material/data and brief regarding important issues or conflicts as they arise.
Assure that expense reports are accurately and efficiently completed.
Request information and actions on behalf of the executive team and ensure that these requests are fulfilled efficiently and effectively.
Provide support for Board of Directors meetings including: executing action steps and coordinating meeting requirements.
May also train and supervise lower-level clerical staff.
Establish appointment priorities and schedule appointments as necessary and appropriate.
Provide assistance to the executive team on an as needed basis.
Handle regular support duties as required.
Requirements:
Qualified candidates will have:
Bachelor's Degree. Significant job related experience will be considered.
Experience in a professional services environment and/or decentralized organization preferred.
3-5 years of experience supporting a top executive required.
Demonstrated strong analytic skills.
Demonstrated poise, tact, and diplomacy.
Excellent time management and organizational skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, PowerPoint, Outlook, Excel.
