Location and team
DNV KEMA's Sustainable Use Consulting group is seeking project coordination support from an individual with strong interpersonal and organizational skills to work in DNV KEMA's Burlington, MA office.
Tasks may include
Assist multiple project managers with day-to-day operational responsibilities on multiple projects, while ensuring adherence to corporate protocols. For example:
Act as a liaison between project managers and other corporate departments, including Legal, Accounting, HR, Marketing, and IT
Support project start-up activities by coordinating with corporate departments to establish projects in the accounting system, execute and file contractual documents, and set up necessary data storage procedures
Support project kickoff activities, both internal and client facing including sheduling meetings, creating project templates in MS Word, MS Excel, and MS PowerPoint, and communicating project information
Provide project execution and control support to project managers including:
Assist with status reporting and invoicing activities by: reviewing time, expense and accounting reports, reviewing subcontractor invoices, maintaining budget tracking information, and preparing invoices according to corporate and client specifications.
Track outstanding project receivables and assist project managers to research and resolve issues related to payment of invoices.
Enter project-related data into corporate accounting and project management systems (e.g., Oracle, MS SharePoint).
Track execution of work plans, including tracking project deliverable dates and issuing reminders to team members
Assist facilitation of team and client meetings, including agendas, minutes, and action items
What we're asking
Associates Degree in Business or related discipline; Bachelors Degree preferred
3+ years experience in project coordination in a high-volume, time-sensitive environment
Knowledge of basic accounting and budgeting principles and ability to apply principles to project administration
Advanced Microsoft Office 2003-07 Excel, PowerPoint and Word skills
Experience with Oracle accounting systems, MS Project and MS SharePoint preferred
Excellent written and verbal English communications skills
Demonstrated ability to multi-task effectively and to manage competing priorities
Excellent organizational and interpersonal skills and superb attention to detail
Ability to take direction from multiple people and perform highly varied tasks
Willingness and ability to drive to the Portland, ME and Middletown, CT offices once a month (daytrip). Mileage is reimbursed.
This is a US-based position; applicants must be fully authorized to work in the U.S.
