Executive Assistant

| Reporting to the Executive Manager, Compliance Division, this position is responsible for providing confidential administrative and clerical support to Executive Managers of Compliance and Information Technology. Duties include but not limited to: Provide discrete handling of confidential and sensitive employee issues as well as divisional information; Provide input relating to budget preparation, prepare invoices for payment, track expenditures, and maintain accurate documentation; Provide compliant and timely monthly updates and reports; Maintain accurate training records for division staff; Create and edit all briefing notes, ministerial and divisional plan correspondence; Transcribe minutes for divisional meetings, workshops and conference calls, and distribute required documentation; Ensure proper storage of all division correspondence to ensure ease of retrieval; Co-ordinate events and meetings, manage the electronic divisional calendars and make travel arrangements for division staff. Certificate in Business Administration, Office Education with extensive experience in progressively responsible clerical/administrative work. Other qualifications include: Superior written and verbal communications skills with commitment to quality and attention to details; Excellent interpersonal skills with the ability to interact effectively with personnel on all levels; Ability to work independently with little or no supervision and in a group setting; Ability to deal with confidential information in a discrete fashion; Ability to work under pressure, meet deadlines and adapt to a changing work environment; Advanced experience with computer applications; Experience in composing and editing a variety of correspondence; Superior clerical aptitude with the ability to plan, organize and coordinate a variety of duties; Preference will be given to those applicants with knowledge of the policies and procedures of SCIC.
