GENERAL DESCRIPTION:
The Executive Assistant will be responsible for delivering a high standard of administrative support to the VP of Sales - EMEA. The incumbent must use excellent interpersonal and relationship-building skills and a solutions-oriented approach to support and address the business needs of the team. A successful candidate will show the initiative to anticipate and resolve conflicts as they arise and prioritize issues.
DUTIES AND RESPONSIBILITIES:
Calendar management, including extensive meeting coordination, both internally and with executives and assistants throughout TR / at other firms, and across time zones.
Assist in preparing presentations, i.e., exceptional proofreading skills and the demonstrated ability to consistently produce error-free work products.
Solicit and consolidate inputs from different regions for various reports in Word and Excel
Prepare first drafts of monthly status reports and monthly system operational reports.
Prepare first drafts of monthly department financial reports.
Collaborate with Sales and Finance to develop monthly reports
Arrange logistics for onsite and offsite meetings; negotiate with suppliers for meetings and other needs
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
Extensive experience in developing & confirming international and domestic travel arrangements.
Must be a team player, providing cross support to other executives and executive assistants as needed.
Proven ability to prioritize his/her own work and work independently with minimal supervision.
Flexibility and reliability around unpredictable time constraints and schedule changes.
Ability and willingness to work overtime when needed.
Proven ability to work with sensitive and confidential materials.
Basic administrative duties, such as completing and submitting expense reports, filing, maintaining supply cabinets, making catering arrangements for meetings, and arranging car service.
Qualifications
REQUIRED SKILLS AND EXPERIENCE:
* Strong relevant and demonstrable experience supporting director level or above. * Advanced knowledge of Microsoft Office suite including: Outlook, PowerPoint, Excel and Word. * Basic understanding of financial expense reporting. * Strong ability to build relationships throughout an organization. * Takes pride in work, exhibiting accuracy and attention to detail. * Comfortable with taking initiative * Extreme eagerness to learn the business. * Ability to work with strong personalities. * Ability to anticipate needs and pro-actively address them with little to no supervision or prompting. * Excellent interpersonal skills. * Well organized work style. * Proven ability and willingness to learn new office software applications (e.g. new releases of MS Offices, On-line expense management systems, etc.).
