| RED ROAD HIV/AIDS NETWORK SOCIETY EXECUTIVE ASSISTANT GENERAL Reporting to the Executive Director and Program Manager, and subject to the policies and procedures of the society, the Executive Assistant will be responsible for providing clerical and administrative support to the organization. DUTIES 1. PROVIDE CLERICAL & ADMINISTRATIVE SUPPORT IN THE DAY TO DAY OPERATIONS OF THE ORGANIZATION BY: - Receiving phone calls to reception, taking messages when necessary, and screening mail - Respond to requests for information on HIV/AIDS, Aboriginal Health Related issues, mail-outs and referrals. - Assisting in the preparation of materials required for Board of Director and training sessions, etc., as required; - Ensure terms of use, confidentiality, and privacy agreements are maintained and adhered to. - Assist in the coordination of provincial Skills Building sessions; - Conduct research related to program requirements as required; - Providing ongoing support to the Executive Director and Program Manager. 2. ASSISTING WITH PROGRAM PROPOSAL DEVELOPMENT BY: - Identifying potential funding sources in accordance with the goals and objectives of the Organization; - Assisting in the development and writing of potential proposals for funding consideration, once approved by the Executive Director; - Development of communication links with organizations, bands, tribal councils and organizations, as well as RRHAN board members - Assisting in the monitoring of government policy trends and recommending strategies to influence government policy to the Executive Director; 3. ASSISTING IN THE ADMINISTRATION OF ALL LEGAL AND CONSTITUTIONAL REQUIREMENTS OF THE ASSOCIATION BY: - Maintaining and filing the records of the Society in accordance with by-law changes to the Registrar of Companies; - Assisting in the preparation and distribution of the annual report as required under the Societies Act of British Columbia; - Recording and transcribing all Executive Committee, Board of Director, committee meetings and any other meeting minutes; - Coordinating Board of Director, Annual General Meeting, and committee meetings QUALIFICATIONS AND EXPERIENCE o Successful completion of grade twelve or educational equivalency achieved by way of technical and management experience. A Bachelor degree or diploma in office administration, public administration, or other relevant disciplines would be an asset; o This position requires a people oriented individual with technical training in typing, filing and record management, as well as telephone and reception techniques, and computer systems. o The candidate should have at least three year experience in an administrative position in an Aboriginal or community -based organization. o The ideal candidate will have a thorough knowledge of various computer software systems including Microsoft Office, databases, and record keeping; o The candidate must have demonstrated superior written and verbal skills. o The candidate must be able to record and transcribe minutes of various meetings. o Experience in internet research an asset and a high level of comfort doing internet searches required. o A general knowledge of the budgeting and reporting requirements of various government funding agencies are a definite asset. o Experience with HTML coding and website maintenance and updates are an asset. o Familiarity with the Society Act preferable SPECIAL REQUIREMENTS AND SKILLS - The person occupying this position should have knowledge and understanding of Aboriginal culture and of various social and political issues in the Aboriginal community, and should have a demonstrated ability to work with Aboriginal people. - Basic knowledge of HIV/AIDS and its impact on Aboriginal communities preferred, or willingness to take training to learn. - The person occupying this position must be able to work under the supervision of the Executive Director and Program Manager and be able to take appropriate action during their absence. - The occupant of this position must be prepared to travel from time to time as requested by the Executive Director or Program Manager, either for the purposes of conducting the business of the organization or for research or training purposes. - A driver's license may be a requirement of this position.
