Join us as an Investment Center Operations Assistant
Bank of Oklahoma has an immediate opening for an Investment Center Operations Assistant in Tulsa. The Investment Center Operations Assistant is primarily responsible for the processing of (daily) fund direct applications submitted to the Operations Department via overnight mail by the Financial Consultants; communicates daily with Financial Consultants (FC) regarding inaccurate/missing documents. Other responsibilities include data input, clerical, and client service duties related to the sales activities of the Investment Center. Other duties include tracking branch referrals, providing relief to Investment Center Receptionist and the ordering and distribution of general office supplies.
Responsibilities: Verifies and processes all trades that are fund direct; verifies all information on fund application is complete and accurate; verifies that all documents are received for each trade in order to be in compliance with strict government regulations; checks for prospectus receipt, cash and security receipt showing date that the FC received the check or the stock certificate, checks our proprietary system to ensure we have received everything the FC has logged in showing what was sent via interoffice mail. Submits and codes applications, checks, securities, service requests, etc. on a daily basis; deposits and codes checks into various sweep accounts which includes our clearing broker (Pershing); insurance companies. Creates a list of contents to be sent in overnight pouch to meet regulatory guidelines and in order to comply with strict guidelines and to meet with timely turn around deadlines. Assists Trading Assistant with inputting of new account information directly from brokerage account applications; all client information must be input into computer system in order to track production, send mailings, etc. Scans all documents sent to the fund companies and scans all other regulatory documents onto a shared drive. At month end scans all tickets by client/fund company that were posted in production that month. Communicates daily with FC; inaccurate and missing documents must be followed up on in order to process accurate investments. Performs various clerical duties; provides backup to Investment Receptionist on occasion; orders and distributes general office supplies; sorts and distributes all interoffice and US mail, enters supply orders on the system. Qualifications:
This level of knowledge is normally acquired through completion of an Associates Degree and 1+ years general office experience or 3+ years equivalent work experience.
Thorough working knowledge of file maintenance, English grammar, appropriate standards regarding letters, memos, composition, and proper telephone etiquette. Good PC and software application skills; i.e. MicroSoft Office Good interpersonal, verbal, and written communication skills Ability to handle multiple tasks in a competent and professional manner; good organizational skills
