Junior Executive Assistant
PURPOSE

Founded in 1993, Women for Women International (WfWI) provides women survivors of war, civil strife and other conflicts with the tools and resources needed to move from crisis and poverty to stability and self-sufficiency, thereby promoting viable civil societies. WfWI has distributed millions of dollars in aid and microcredit loans and has provided its multi-faceted core program of direct aid, emotional support, rights and leadership education, job skills training and small business development to thousands of women worldwide. WfWI works with socially-excluded women survivors of war in eight countries around the world and is headquartered in Washington, D.C.

Women for Women International is seeking a highly talented, highly motivated self starter with a passion for providing administrative support. This individual under the supervision of and working directly with the Senior Executive Assistant will provide administrative support to the CEO.



DUTIES AND RESPONSIBILITIES

The individual will serve as the Junior Executive Assistant with respect to logistical matters affecting the CEO, including the following:
1. Scheduling and maintaining calendar of appointments, coordinating meetings with others, and execution of detailed and specific arrangements.
2. Assisting (Senior) Executive Assistant in managing the processing, organization, and distribution of high level incoming scheduling requests.
3. Coordinating detailed and complex travel itineraries (domestic and international), logistics and communication
4. Assisting (Senior) Executive Assistant in preparing all travel itineraries to include briefing materials, talking/speech points, schedules, etc gathering input from various departments and external resources as necessary
5. Assisting (Senior) Executive Assistant in managing the speaking engagement process for CEO and other staff working with external contacts, consultants, and various department staff
6. Setting up and coordinating conference calls
7. Assisting in meeting preparation
8. Preparing expense reports and reimbursement forms for CEO
9. Maintaining CEO?s mail
10. Assisting in editing and proofing written materials for CEO as needed
11. Professionally and effectively handling calls from both internal and external sources
12. Helping to maintain CEO contacts in organization database
13. Personal tasks as needed: booking appointments, scheduling transportation, purchasing gifts, etc

Ad-hoc Responsibilities:
1. Maintain records, files, etc for CEO
2. Contribute to maintaining aesthetics of CEO?s office (clean, safe)
3. Purchase/Order office supplies as required
4. Perform special projects and research as needed
5. Assist Special Project Assistant with Board meeting preparation


SKILLS AND QUALIFICATIONS

The individual should have the following:
1. Undergraduate Degree
2. Minimum of 2 years experience in an administrative support role REQUIRED
3. High-energy, people-oriented, engaging individual with exceptional interpersonal skills capable of exemplifying the organization?s mission and collaborative culture
4. Demonstrated ability as a team player and ability to communicate effectively with internal as well as external contacts
5. Exceptional written, verbal, organizational and interpersonal skills (including excellent telephone communication skills) as well as highly detail-oriented
6. Impeccable tact and discretion required in dealing with confidential information.
7. Flexibility and willingness to work in situations of flux; ability to work in a fast turn-around environment
8. Ability to organize, prioritize and meet deadlines while working on numerous on-going projects simultaneously
9. Ability to work independently with minimal supervision and exercise sound judgment in making decisions
10. Resourcefulness and ability to work proactively
11. Strong work ethic and willingness to take ownership for wide-ranging responsibilities.
12. Sense of humor, ability to have fun
13. Knowledge of standard office practices and procedures to include ability to compose and format correspondence, business proposals, legal documents and presentations.
14. Good knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
