Overview :
Develop, coach and lead staff of executives and clericals. Delegate, manage and prioritize departmental workload. Assure UPC/EDI and Direct to Store issues are resolved timely and effectively liaised with Merchants, Planners and Vendors. Manager must be involved in development of methods to streamline processes and ensure updates to all systems are accurate. Manager is responsible for charging vendors for substitutions and changes to UPC data. Manager must incorporate business needs into best practices and work with Merchants and Stores to improve EDI purchase order rate, reduce number of sales and inventory rejects and ensure receipts are processed for Direct to Store shipments.
Key Accountabilities :
Oversee technical systems and reports for EDI/UPC and Direct to Store Receipts:
Research and resolve reported exceptions timely and accurately.
Monitor and report system issues timely. Ensure appropriate resolution and follow-up.
Partner and communicate with Systems Group on systemic issues and future enhancements.
Test all new enhancements and coordinate rollout schedule.
Improve department metrics for EDI purchase order penetration rates and sales rejects.
Oversee chargebacks (expense offsets) to vendors for concealed substitutions and changes to UPC files:
Plan expense offsets seasonally and monitor plan versus actual expense offsets weekly.
Assure expense offsets are accurate and submitted on a timely basis.
Review reversal report for expense offsets.
Research and resolve claim inquiries from vendors and merchants on a timely basis.
Partner with Accounts Payable to develop best practices for expense offset management, improve accuracy of submitted versus processed and to update Vendor Standard Manual.
Meet with merchants to review expense offset policies and procedures.
Training and Development
Analysts able to undertake all aspects of office, field questions and identify trends.
Conduct weekly staff meetings.
Development of team's leadership skills
Clericals cross-trained to handle multiple tasks, answer questions and identify issues.
Write and administer reviews for analysts and clericals.
Support training of Common Department Class and Style Systems.
Develop and update procedures for all functions performed by CDC/Item Office.
Skills Summary :
Management and leadership skills - Experience managing and developing staff
PC Literate - Able to use Excel (macros, pivot tables and v look-ups), Word
Good communication skills - works well with multiple levels of contacts
Strong follow up skills
Ability to prioritize and troubleshoot issue
College degree preferred
