Office Manager/Bookkeeper
Job Summary: Supervises the daily operations of the office and reports this information to the executive board. Oversees the financial activities of the organization and coordinates office functions with other employees.
Essential Duties and Responsibilities:
Supervise, plan, organize, and direct work activities to meet the objectives.
Open/Receive/Distribute mail.
Correspond with membership concerning accounting/billing and membership questions.
Create invoices for education registrations received over the fax, and in the mail. Confirm membership status and proper payment amount remitted. Receive payments against these registrations in QuickBooks Online. Correspond with Member/Employer if payment inaccurate.
Create invoices for all other revenue sources and record payments received against those invoices in QuickBooks Online.
Update website with membership renewals and Annual Conference registrations and payments. This includes the monitoring of manual membership renewals and the corrections of membership mistakes (duplicate membership accounts, incomplete renewals, duplicate payments, etc.)
Enter payroll information onto Paychex website for generation of monthly payroll and regular maintenance of payroll records onsite and submission to Paychex.
Create monthly financial statements, including Balance Sheet, P&L, and departmental P&L’s which includes adjusting journal entries entered, balancing financials to receivables on website and subsequent creation of invoices.
Responsible for entry of credit card payments.
Responsible for Accounts payable duties which includes recording invoices, generating payments, and submitting payments for signature and mailing them to vendors.
Responsible for Accounts receivable duties which includes the generation of accrued invoices, statements, and follow-up for past-due accounts.
Interaction with Board members, Committee Chairs, and External Auditors for purposes of audits, membership and website.
Batch payments and make deposits into Chase Bank and Bank of America (ICTA account).
Other Aspects of the Job: Must have good interpersonal, communication and management skills and be able to deal effectively with other personnel as well as with Executive and Regional Board members, and with general members. Performs other duties as needed or assigned by the Executive Board.
Requirements:
Position Requirements: Bachelors Degree Preferred. Must have at least three years of bookkeeping experience. Must have experience with Quickbooks Online. Previous management experience is desirable. Must have adequate transportation.
Salary commensurate with experience and qualifications. Range is $35,000 - $45,000.
