This is a FULL TIME POSITION very demanding position which regards an applicant who can devote the time required with the addtional hours.

Our business is geared towards the High-end Residential and Commercial markets with particular emphasis on efficient manufacturing drawings for both the clients and manufacturing.

Requirements: - SKILLS AND EXPERIENCE



• Proficient in QuickBooks Enterprise Solutions - Manufacturing & Contractor Edition - Experience working with QuickBooks Enterprise Manufacturing and Wholesale is mandatory. QuickBooks certification is preferred. --



• Experience working with Microsoft Office Suite

• Strong Microsoft Excel skills



• 5+ years of Bookkeeping /Human Resources experience

• Experience with Manufacturing/Construction progress billings



• English / Spanish- Bilingual - both written and oral



• Have a Bachelor's Degree in Accounting

• 3-5 years of recent professional accounting experience

• Possess a strong understanding of accounting principles

• Excellent general ledger accounting experience including multi-company consolidations

• Possess strong analytical and problem solving skills



• Ability to look out for the Company - BE A TEAM PLAYER

• Strong Organizational Skills - accuracy and an Attention to Details are a must. - Detail and Deadline Oriented

• Excellent multi-tasking skills mandatory

Requirements:

DUTIES AND RESPONSIBILITIES



Bookkeeping



• Maintain the books of the company including accounts payable, accounts receivable, expense management, and account reconciliation.

• Accounts Payable - PO reconciliation, entering and paying bills

• Accounts Receivable

• Bank daily reconciliation

• Month End Close

• Close and audit the books at the end of each month & generate financial statements

• Generate financial statements for tax purposes to be given to CPA

• Generate customer invoices and project status reports.

• Invoicing and Collections

• Receipt of payments and account balance follow-up

• Process weekly payroll.

• Payroll " review hours, PTO, employee benefits, auto time clock & process paychecks

• Federal, State and Local Tax Filing - including Payroll, Sales Return, Income

• Purchasing

• Job Costing for manufacturing

• Inventory Adjustments as required

• Contract Administration

• Process customer contracts and work orders.

• Set-up new projects in project management system and track payment status.

• Close projects when they are complete and audit all invoicing.

• Reporting and Analysis

• Develop weekly cash management reports.

• Generate month-end financial statements from QuickBooks.

• Review financial results with management weekly and monthly.

• Office Management - Administrative duties

• Handle routine office administration tasks i.e. ordering office supplies & equipment.

• File, organize, and manage customer contract files.

• Suggest areas for process improvement & cost savings.

• Assist President and Vice President with other administrative tasks as assigned.

• Human Resources - Human Resources Certified - a plus

12. How did you process A/P and A/R through the process?



13. Have recon bank balances in QuickBooks and keeping cash/books up to date?



14. Have you been involved with Purchasing - relieving inventory from Chart of Accounts?



15. Have you monitored contracts - both vendor and customer - due dates and term completions?



16. Have you reconciled outstanding A/P accounts?



17. Have you been responsible for inventory? - Being able to speak to the other departments when there is an issue.



18. Are you English/Spanish Bilingual- do you speak, read and write Spanish?



19. Have you dealt with the phone system when staff changing occurs?



20. Do you have any restrict on your time (this is a very demanding position, therefore requires addition hours including weekends and evenings) ?
