Publishing Technology have an exciting opportunity for an Office Manager to join our Publishers Communication Group division (PCG) in our Cambridge office. Based in Cambridge, MA (USA), Oxford (UK),Sao Paulo (Brazil) and New Delhi (India), PCG is a sales and marketing consulting group working with a variety of scholarly publishers. Job Description:
The Office Manager is responsible for the efficient operation and support functions of a 25-employee office in Cambridge. This role combines office management, finance, IT support and customer service. Some of the tasks you will undertake are as follows:
Manage general ledger, accounts payable and receivable for the division
General staff support (letters, proposals, travel documents, filling, mailing, etc.).
Coordinate travel arrangements for employees.
Troubleshoot on-site IT emergencies and coordinate with the IT team in other offices.
Call maintenance vendors for repairs and service as needed.
Liaise with building manager on issues related to heat, parking, general repair, etc.
Manage office and kitchen supplies, inventory control and distribute requested supplies.
Prepare and arrange for all Express Mail and UPS deliveries.
Organize office outings and gatherings.
Respond to customer service queries received by phone and email for two of our publisher clients.
Requirements:
Successful Candidate
With experience in a small to mid-size office setting, the successful candidate will be able to demonstrate outstanding interpersonal skills in the areas of international office management and customer contact. Expert attention to detail and problem-solving skills along with superior multi-tasking and organizational skills is a must. You will also have excellent communication tact with the ability to communicate effectively on the phone at all levels. This is a fast-paced environment, so knowing how to prioritize is a must.
Advanced knowledge of Word, Excel, and Outlook, accounts receivable/accounts payable experience is required. Proficiency with Great Plains and Replicon systems would be a plus.
