Operations Assistant Manager- Academy of Music
The Assistant Operations Manager works in tandem with Operations Manager to oversee and manage all aspects of planning, coordination, preparation and execution of all front-of-house functions, facility readiness and event fulfillment at the Philadelphia Academy of Music. Manage key relationships with three Resident Companies, Kimmel Center Programming, Broadway Touring Productions, Galas, and Ancillary tenants
Essential Functions
Facility Management -Manage, coordinate and distribute internal event calendars and information -Attend weekly interdepartmental calendar and event coordination meetings -Assist Operations Manager with facility logistics and presentation; facility usage, safety, regulations and policies; and with daily facility inspection
Events Management -Assist Operations Manager in coordinating all event requirements and fulfillment of same, including determining staffing levels for Ushers, Porters and Housekeeping staff -Assist Operations Manager with coordination of event setups and strikes; monitoring vendors
Finance -Prepare weekly payroll and settlements for AOM Production Manager approval -Assist Operations Manager with weekly preparation of front of house payrolls -Prepare all AOM payment authorizations for approval; track expenses against budget
Office Management -Manage office operations (traditional hours), including high volume e-mail, phone business, office systems, office supplies, track service contracts -Assist Operations Manager as primary source of information to the public regarding building and events -Field complaints and inquiries from facility users and distribute appropriately
