We currently have the following opening: External Job Description: Operations Assistant Purpose: The OperationsAssistant provides support for warehouse and logistics operations especially as it relates to purchasing/procurement. The role requires strong customer service focus, collaborative communications and relationship business acumen. Key elements to job role are continuous purchase cost reductions, placing approved orders with authorized vendors, monitoring Purchase Card (P-Card) and Fleet Card programs, and maintaining accurate purchase order information in the SAP system.Key Responsibilities * Operational projects– Collaborates with Logistics & Operations departments including field personnel to establish, track and document operations projects and activities ensuring corporate purchasing and budgetary policies (including approvals) are adhered to. * Operational purchasing/procurement –coordinates order/approvals of a variety of items relating to Non-Inventory/Non-Resale, MRO expenses including, General/Industrial parts, materials, and services including equipment, truck, and trailer preventive maintenance, repairs, and parts. PO receipt/PO closure monitoring, and potential fraud situation auditing. * SAP Purchase Orders -Issues SAP purchase orders for approved requests, tracks deliveries, receipts and PO closure in the system. If required maintains information in Excel and/or Access for designated purchases. May call in orders, fax or forward confirming written purchase orders with accurate record SAP system. Provide support to Accounts Payable for invoice 3-way reconciliation related to order details and operational delivery receipts. Validates account coding so charges are assigned to the correct accounts. Education/Experience Required:
Education * High school diploma or GED with related business or vocational training desired * Business Associates degree or equivalent experience preferred. Experience * Two to three years of warehouse, accounts payable or operational experience relating to supplying materials, supplies and services. * Knowledge of Maxum Petroleum operations preferred. * Demonstrated ability to interacting with operations personnel and detailed requirements, follow-up work in order to accomplish the purchasing process, and completion through the invoice payment. * SAP software core applications, queries, and procurement processes. * Proficiency in MS Office and knowledgeable in the use of Excel and Access. * Able to work independently and make process and/or customer service decisions. * Able to communicate effectively, both in person and on the telephone.
