Position Summary:
The Role:
Order Administrator's (OA) main function is to process daily orders incoming from Japan. OA has to ensure that orders are being processed based on certain level of requirements, and on timely basis to meet the committed Order Processing lead time. It is expected that this role monitors the order status to ensure that orders being processed and fulfilled accurately before passing the Order Entry Form to finance for invoicing. In addition, OA has to perform some basic customer service activities such as respond to daily order & fulfillment related requests or inquiries. This role reports directly to Operations Manager, Japan.
Primary Responsibilities:
- Assume primary ownership of monitoring and processing incoming orders for Japan.
- Monitor and follow up closely on the all orders in progress to ensure they are being processed and fulfilled accurately and on a timely basis.
- Follow through the order package for the fulfilled orders to Finance for Invoicing.
- Feedback and/or discuss any problems or issues arising from non order compliance with Order Fulfillment Supervisor
- Handle the creation and maintenance of Customer Account in all the Order Management Systems according to a set of setup requirements.
- Work within the function on the actual execution of all the established Order Management Processes and Requirements; order capture and fulfillment processes and processing requirements.
- Feedback Inventory status for inventory top up planning.
- Work closely with Oracle team to ensure that the system is running properly based on order requirements.
- Backup on colleagues during absence of leave
- Assist in user acceptance testing for enhancements for Order Management system implementation and execution.
- Assist in preparing report generation as required
- Demonstrate very high commitment to ensure very Order Processing and Fulfillment standards are being maintain at all times.
- Ability to prioritize activities so as not to jeopardize order processing and response time.
- Follow through with the established instructions, processes or procedures; always check when in doubt.
- Contributor and Executor of all feedback on Process Improvement efforts.
- Work with little supervision on a day-to-day basis, achieve results when presented with only general instructions on new assignments.
- Maintain a high level of working attitude and behavior; be a good & supportive team-player.
- Produce high quality & accurate work and/or assignment; leave no room for mistakes
Required Skills & Experience:
- Experience in order administration and fulfillment will be an advantage.
- Knowledge of procedures and documentation for the processing and placement of customer order
- Ability to communicate effectively, both orally and in writing
- Ability to foster cooperative work environment.
- Knowledge of customer service standards and procedures.
