Part-Time Administrative Assistant

This position is for our client in Dartmouth, MA. They are looking for a Part-Time (20/hr per week) Administrative Asssistant to help with the departments needs. This position is expected to last through June but possibly longer.



Position duties include:


  • Entering requisitions into peoplesoft financial, maintaining and updating all information as needed. Faxing new vendor paperwork when necessary to vendors and purchasing dept.

  • Submitting & preparing, part-time employment paperwork to Human Resources

  • Preparing stipend paperwork and waiver paperwork.

  • Assist semianr coordinator to obtaining necessary information for all seminars, conferences and workshop.

  • Submitting requests, order foods, tech support and any all necessary items needed for events.

  • Posting all events on the website and around facility. Doing all necessary paperwork for payments to vendors, speakers and staff.

  • Obtaining and preparing data for Annual Report

  • Assistance with grant proposal preparation

  • Preparing & set up for Newsletter and Booklets for print.

  • Preparing events profit spreadsheets on conferences and workshops.

  • Maintain and processes office forms for travel authorization, reimbursement, print shop, etc.

  • Type, create and maintain office files, records, reports, correspondence required for reference and efficient operation of the office.

  • Operate standard office equipment such as calculators, telephones, typewriter, photocopiers, printers, fax machine.

  • Knowledge or university software programs, coin, peoplesoft, T4, etc

  • Receive & make telephone calls, take messages, answer routine questions. Assist staff as necessary.

  • Ability to work some weekends and evenings when necessary preparing, orgainizing and participating with conferences, symposiums and special events that the center presents.



Requirements:

Candidiates must possess the following skills:


  • Proficient experience with MS Word, Excel & Peoplesoft

  • Previous administrative experience (2-5 years)

  • Ability to speak professionally and clearly on the phone

  • Experience using office technology including copiers, scanners & fax machines
