Part-time Administrative Assistant (Sports Management/Finance/Admin)

Maintain day-to-day operations of the office including responding to inquiries from IGF membership (125 members), responding to general IGF inquiries, and other IGF projects including:
Respond to daily IGF general e-mail
Compile and send all IGF mailings (postal and electronic)
Compile and send IGF Manuals, if needed; post Manuals on IGF website
Assist with editing of IGF Record Book; mail Record Books and Team Photos
USA Team Manager for the WATC; coordinate Delegate and Supporter activities
Assist with updates to IGF web site and WATC InfoPortal page
Budget, order, and ship all supplies, mementos, and equipment for WATC and USA Teams (including Customs work)
Forward all forms for WATC Team Entries and WATC Delegations to IGF Members; maintain database with all replies and anti-doping acknowledgement forms
Process WATC entries, including payment tracking
Maintain all IGF membership information and correspondence for new applicants
General work in Championship/Rules Office and organization of all aspects of Team Registration at WATC
Organize remote meetings (meeting space, conference call information) as needed

Provide general administrative support to Director, U.S Women's Open and U.S. Amateur including, but not limited to:
Handling general correspondence
Mailings
Meeting preparation and execution
Assist with collecting and organizing amateur (men's and junior) tournament result information for International Team Selection Committee use

Knowledge, Education, Skills & Abilities:

Advanced knowledge of all Microsoft Office suite programs including:
Microsoft Outlook
Microsoft Access - creating reports, running mail merges from tables and/or queries
Windows Explorer - organizing and maintaining folders and files
Microsoft Word - Using track changes feature, use of templates, formatting techniques, etc.
Able to create, edit, and combine documents from Word into .pdf files using Adobe Acrobat Professional
PowerPoint - Build, edit and organize PowerPoint presentations
  • Able to manage multiple platforms of interface in meetings and correspondence
  • Demonstrated ability to handle and prioritize multiple assignments or projects simultaneously
  • Excellent organizational skills
  • Demonstrated attention to detail and ability to accurately send correspondence and create documents
  • Able to work independently without direction, in absence of supervisors who travel frequently
  • Excellent telephone skills very diplomatic, friendly and personable
  • Strong interpersonal skills cooperation, communication and reliability
  • Knowledge of game of golf helpful
  • Foreign language skills helpful

    Some travel required: 1 week international (odd-numbered years), 3 consecutive weeks international (even-numbered years); other (domestic) championship travel as assigned
