PAYROLL ADMINISTRATOR

GENERAL ACCOUNTABILITY:
Reporting to the Payroll Supervisor, the Payroll Administrator has generalist responsibilities for the coordination and administration of all department responsibilities for a Canada-wide Payroll service, with some leadership responsibilities in the area(s) under specialization. This position also has responsibility for departmental administrative tasks.

The Payroll Administrator compiles, processes, verifies, and maintains payroll information to determine pay and benefit entitlements for all employees at the Canadian locations. This position uses both manual and computerized methods and is responsible for ensuring an accurate, functional and timely payroll is processed on a bi-weekly basis.

This position is not responsible for any direct reports.

SPECIFIC ACCOUNTABILITIES:

Specific Accountabilities for the Payroll Administrator include:

ï‚§ Working with a Payroll Team, coordinates and oversees the maintenance of an accurate bi-weekly payroll system, including:
•Entry of bi-weekly payroll and adjustments
•Execute bi-weekly/monthly Payroll Reporting
•Perform bi-weekly Edit Checking
•Review register from Ceridian prior to Employee deposits
•Perform month-end reporting
•Perform quarterly register maintenance (i.e., vacation accruals, pension discrepancies)
•Perform reconciliations for various payroll accounts: Optional life insurance), Retirement Savings Plans, WSIB, EHT, Loans and CCRA remittance
•Produce monthly attendance report for each department
•Oversee and coordinate year-end reporting requirements
•Completing, verifying and processing miscellaneous adjustments to be included in employees’ net pay calculations.
•Running timesheet reports and verifying entries for hours worked by each employee in order that an accurate payment is processed.=
•Verifying Statements of Earnings for employees, indicating gross and net salaries and deductions, such as taxes, insurance and pension plans, prior to payments being transferred to bank accounts.
•Terminating employees from the system and verifying all Records of Employment information for accuracy.
•Maintaining vacation, overtime and attendance records for all employees within the payroll system.
•Maintaining all department information in the timesheet system in order that the costs and wages are allocated properly.
•Running bi-weekly and monthly reports including: pension, RRSP, optional life insurance, wages and any adhoc reports requested.
•Ensuring pension plan contributions are contributed to the appropriate agency on time as legislated by the Financial Services Commission of Ontario.
•Providing ongoing support and information to all employees concerning their personal payments on a bi-weekly basis

2. Retirement Savings Plans – Payroll Administration
•Prepare monthly remittance for RPP/RSP
•Perform monthly reconciliation to statement of contributions
•Coordinate Annual Information Return and associated pension reports

3. Employee Relations
•Participate in Human Resources initiatives to market/brand Employee loyalty and identification with the Company
•Must have a customer-service, can-do attitude

4. Projects & Other
•Assist Colleagues with (special / ad hoc) projects, as needed in areas such as Training & Development, Performance Management and Policy creation
•Provide Administrative support to Manager


EXPERIENCE & EDUCATION REQUIREMENTS
•Completion of PM, PS or PA designation
•5-8 years experience in a Payroll Administration role with multiple-site responsibilities – preferably serving multiple provinces and expatriates
•Expert-level Excel spreadsheet skills: ability to run macros and create intermediate-level macros
•Ceridian or ADP: at least 3-years experience operating an integrated vendor platform, preferably with experience in simple/intermediate Crystal report-writing
