PROPERTY MANAGEMENT COORDINATOR
(Permanent, Full Time Unionized Opportunity - 35 hours/week)
The Children's Aid Society of Ottawa is a non-profit organization funded by the Government of Ontario. We are currently searching for a dynamic person to join the third largest Children's Aid Society in Ontario, to fulfil the role of a Property Management Coordinator.
Responsibilities:
Under the supervision of the Property Management Supervisor, the Property Management Coordinator will be assisting his/her supervisor with the safe and efficient operation of the Society's commercial and residential facilities (ie head office, satellite offices and 8-10 homes).
The Society's facilities have automated HVAC, lighting and protection systems that are critical to the Society's operations and therefore require that they be operational beyond normal working hours. The Property Management Coordinator will be required to be on standby, on a rotational basis, and effectively respond to building alarms, security system alarms and/or maintenance problems that occur after normal working hours, to ensure appropriate action is taken to support operational needs.
The incumbent will be assuming the following responsibilities:
- Identifies, implements and coordinates repairs to the facilities (eg Coordination of Property Management staff and outside contractors) and to Society vehicles.
- Prioritizes work to be performed and utilizes a follow-up system to assure work completion.
- Monitors all buildings mechanical and electrical systems.
- Develops, recommends and implements ongoing preventative maintenance programs for the
society's facilities. - Ensures the safety and security of all the Society's facilities through regular checks and
reports all problems and recommended actions to the Supervisor of Property Management. - Conducts scheduled reviews of all facilities and identifies repairs required to the buildings and
implements all necessary work. - Plans and manages all phases of maintenance projects. Works with the Supervisor of Property
Management on bid specifications and tender awards. - Coordinates the contract administration of maintenance projects, renovations, and upgrading
programs executed in-house or assigned to outside contractors. - Responsible for the purchase of goods and services, within established spending approval
authorizations - Participates in the preparation of the annual operating and capital budgets and effectively
manages within approved budgets in conjunction with the Supervisor of Property Management. - Coordinates the installation of Society owned equipment and furniture.
- Coordinates the meeting room set-up process.
- Performs administration and other related duties in support of the Property Management
Department.
Qualifications:
Education and Experience:
- Community College diploma in property management and/or facility management field and have
at least one of the following designations; SMA, FMA, or equivalent experience. - Minimum 5 years experience in commercial building maintenance, knowledge of computerized
building automation and lighting systems. - Minimum 5 years experience in coordination of office moves/adds/changes.
- Experience with a variety of computer applications including but not limited to Excel, Word and
WordPerfect.
Knowledge and Skills:
- Knowledge of writing project scopes, pricing jobs and dealing with suppliers and contractors.
- Knowledge of relevant building, fire and safety codes and standards.
- Demonstrated ability to establish and maintain positive relationships with staff, foster parents,
suppliers, contractors and public officials. - Excellent customer service skills.
- Strong interpersonal and communication (oral and written) skills.
- Excellent judgment, problem solving, organizational and time management skills.
- Capable to work independen tly as well as within a team setting.
- Manual dexterity.
- Ability to lift and move equipment and moderately heavy objects.
- Valid Driver's license and ownership of a vehicle is required.
Assets:
Bilingualism would be considered an asset.
We offer a salary range of $46,235 to $61,895 commensurate with skills and experience, including a comprehensive benefits package (pension plan and health & insurance benefits) and generous leave provisions (such as 4 weeks of vacation after 1 year of service).
