RESPONSIBILITIES Answer multi-line telephone system, take accurate messages, and transfer telephone calls to the appropriate person in an efficient manner. Provide exceptional service during the entire customer transaction. Collaborate with other CSRs. Escalate customer concerns only when needed. Greet visitors and customers timely and professionally. Help walk-in customers process orders with friendly and accurate expediency. Communicate clearly and carefully with other departments to ensure timely and thorough processing of customer related matters. Manage customer resolutions and communicate with team members by using shared email folders; work cooperatively to achieve department and companywide goals. Become proficient with in-house software programs. Back up other CSR team members when needed. Process in a timely manner all customer claims about lost or damaged orders. Use sound judgment to update the status of accounts and orders. Ensure accurate handling of cash, credit and check transactions, including payments to/from customers. Frequently type professional correspondence in accordance with standard writing principles (grammar, syntax, spelling) and business rules. Craft individual messages in emails to customers. Open and distribute incoming mail on a daily basis and prepare outgoing mail. Receive and sign for packages and delivery to the appropriate department. Operate standard office equipment including: multi-line telephone system, fax and copy machine, computer, and printer. Monitor faxes; direct incoming documents and send documents as requested. Provide encouraging, constructive and useful feedback to management in order to streamline and enhance existing procedures.
