    This position will provide general office support and daily operations support for programs and activities under the direction of the CAO, Programs & Operations Manager and potential program directors. Tasks will include scheduling of organizational meetings and community convening events, organization of special lectures and receptions, and other special assignments.

    Responsibilities include, but are not limited to:

    • Front desk duties including answering main office telephone line, distribution of mail, and responding to emails.

    • Scheduling and coordinating meetings

    • Submitting building facility requests

    • Preparing and distributing event announcements

    • Assisting faculty members/fund managers in collecting data in preparation of grand submissions

    Duties must be performed with minimal supervision, and under multiple deadlines from multiple managers. CAO and Programs & Operations Manager as well as Center directors are available for consultation; however skill in working independently is essential and required.

    This is a full-time career position, eligible for benefits.

    Salary Range: $24.57-$34.87 HourlyQualifications

    Required

    • Ability to manage diverse workload, and meet short deadlines with frequent interruptions.

    • Skill in working independently and dependably on assignments with minimal direction and supervision.

    • Interpersonal skills to interact with persons of various social, educational, and cultural backgrounds.

    • Demonstrate advanced skills and experience in operating Microsoft Excel, Word, Outlook, PowerPoint, Adobe Illustrator, EndNote, etc.

    • Demonstrated ability to follow UC policies and procedures.

    • Excellent written and verbal communications skills are required.

    • Ability to work occasional nights and weekends.

    • Experience working with community organizations

    Preferred

    • Demonstrated working knowledge of federal and state contract and grant policies, including various proposal submission requirements.

    • Demonstrated ability to navigate and operate UCLA on-line systems.
