    NiteHawk Sweepers is seeking an Administrative Assistant to join our team. This individual performs a range of duties to help facilitate the sale, production, customer support, and accounting for NiteHawk products and services. On the sales side, they are essential in developing and maintaining customer relationships, collecting and managing sales documentation, and providing clerical support to the sales team, vendors, and customers. This individual also supports the accounting department, assisting with invoicing, expense reports, credit card reports, packing slips, and vendor transactions. The right person for this position is highly organized, a strong communicator, and enjoys managing projects and duties across all aspects of a small business.

    Essential Functions of the Job:

    • Works with sales team to provide support on ongoing deals and to assist with lead generation

    • Maintains customer database by performing various checks on data quality and lead generation

    • Runs weekly, monthly and special reports for Customer Service and Marketing purposes

    • Coordinates with sales team on quote variations, invoicing, special instructions

    • Supports production in providing quotes, build sheets, and working as a liaison with the sales team to help ensure a seamless order and delivery customer experience

    • Maintains and updates customer files

    • Answers incoming calls and emails; directs inquiries and answers questions

    • Working in JD Edwards (our MRP System), assists in tracking, coding, and reporting for daily cycle counts and other inventory processes

    • Process invoices, check requests, and expense reports with Corporate Accounts Payable. Assist in resolving AP/Purchasing/Receiving issues

    • Invoice charges/credits to Accounts Receivable

    • Audit credit card and expense reports

    • Special assignments as needed in support of other departments, including marketing, finance, purchasing, and customer service

    Knowledge, Skills and Abilities (KSA's):

    • Excellent verbal and written communication skills

    • Proficient use of computers including Microsoft Office Suite products and accounting systems

    • Skilled at providing professional, timely customer service

    • Knowledge of billing, cash application, accounts payable and accounting procedures

    • Able to manage own time and prioritize workload

    • Enjoy small business environment with a diversity of responsibilities and projects

    Working Conditions:

    Work performed in an office with frequent sitting and occasional stooping, reaching, lifting, or carrying items up to 25 lbs. Primary duties require sufficient manual dexterity and visual/auditory acuity to operate standard office equipment. Occasional walking in a manufacturing facility required.
