    Job Title: Administrative Assistant

    Department: Medicine Dialysis

    Location: Hospital of the University of Pennsylvania - 3400 Spruce St

    Entity: CPUP

    Hours: Mon-Fri 8am - 4:30pm Hybrid

    Summary

    • This position provides administrative support for faculty members of the Renal Division. Under supervision of divisional leadership, support includes but is not limited to patient appointment scheduling, calendar management and meeting scheduling, document preparation/distribution, frequent and clear communication across department and entity, and demonstrated proficiency in software packages.

    Responsibilities

    • Provide administrative support to the faculty.

    • Perform secretarial duties.

    • Generate bump lists and reschedule patients.

    • Monitor ambulatory schedules and conduct patient outreach to ensure optimal utilization of faculty clinical time.

    • Assist with scheduling patient appointments and editing clinical templates, as needed.

    • Utilize waitlists to fill openings in clinical schedules.

    • Organize and arrange schedules for faculty.

    • Create, edit, and distribute letters per attending physician direction.

    • Attends and take minutes in meetings when necessary.

    • Receive physicians' mail, labs, and reports.

    • Enter and follow up on tickets for faculty maintenance and IT needs.

    • Gather, organize, and disseminate materials for lectures and meetings.

    • Answer and screen phone calls and patient inquiries. Take appropriate messages/delegate to appropriate staff.

    • Receive and assist visitors, referring them to the appropriate individuals.

    • Index and file correspondence, records, and reports.

    • Maintain multiple calendars, clinical schedules, on call and office hours.

    • Assist with the incorporation of new physicians.

    • Assist with maintaining smooth, continuous operations of the office.

    • Updates CVs in FEDs.

    • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures.

    • Other duties as assigned to support the unit, department, entity, and health system organization.

    Education or Equivalent Experience

    • H.S. Diploma/GED (Required)

    • And 3+ years' experience in a high volume, time sensitive business environment.

    • Degree may be considered in addition to experience.
