Description We are offering a contract to hire employment opportunity for an Administrative Assistant role in Rochester, New York. The role involves providing administrative support in a telecommunications industry setting, where the primary job functions include answering phone calls, greeting visitors, and providing excellent customer service.
Act as the first point of contact for visitors, ensuring a welcoming environment
Efficiently handle all incoming calls, directing them to the appropriate person or department
Promptly respond to inquiries and provide exceptional customer service to both internal and external stakeholders
Manage the reception of, review, and distribution of incoming mail in accordance with established procedures
Maintain and update various office files, offering general office filing support as necessary
Responsible for ordering and maintaining inventory of office and kitchen supplies
Assist other administrative staff in managing overflow work, including tasks such as word processing, data entry, and internet research tasks
Utilize Microsoft Excel, Outlook, PowerPoint, and Word to perform various administrative tasks
Answering inbound calls and managing email correspondence
Schedule appointments and meetings as needed. Requirements - Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
Ability to manage inbound and outbound calls efficiently
Proven customer service skills and experience
Demonstrated ability in data entry tasks
Experience in email correspondence and written communication
Capability to schedule appointments and manage calendars effectively
Ability to handle administrative tasks and perform under pressure
Strong organizational skills and attention to detail
Ability to work independently and as part of a team
Excellent problem-solving skills and ability to make decisions
Good time management skills and ability to prioritize tasks
Professional attitude and ability to maintain confidentiality
Excellent verbal and written communication skills
Ability to learn new software and technologies quickly.
