    Overview

    Our client, a reputable manufacturing and supply company in San Diego, is seeking a proactive and tech-savvy Administrative Assistant to join their team. This position offers an exciting opportunity to contribute to the smooth operation of the office environment and support various administrative functions. The ideal candidate will possess excellent organizational skills, attention to detail, and proficiency in basic office software.

    Responsibilities

    • Coordinate office lunches and monthly events to ensure seamless execution.

    • Prepare and set up the office for daily operations, including stocking supplies and maintaining cleanliness.

    • Assist with shipping and receiving tasks, such as light packaging, labeling boxes, and handling FedEx drop-offs.

    • Manage inventory and stock levels to support operational needs.

    • Handle mailings and ensure timely distribution of correspondence.

    • Register individuals and manage the badging system for office access.

    • Coordinate domestic and international travel arrangements for employees.

    • Prepare and reconcile expense reports accurately and efficiently.

    • Place orders for office supplies and maintain adequate inventory levels.

    • Liaise with vendors and clients visiting the office, providing exceptional customer service.

    • Utilize intermediate/basic software skills (Outlook, Word, Excel, Teams, SharePoint) to facilitate communication and document sharing.

    • Ensure timely completion of tasks and projects, consistently meeting deadlines.

    • Serve as an office manager, overseeing check-in procedures, issuing ID badges, and collaborating with vendors.

    • Assist with technological tasks, such as taking lunch orders and providing technical support as needed.

    Requirements

    Qualifications

    • Previous experience in an administrative role or similar capacity preferred.

    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and basic knowledge of Teams and SharePoint.

    • Strong organizational skills with the ability to multitask and prioritize tasks effectively.

    • Excellent communication and interpersonal abilities.

    • Detail-oriented and capable of maintaining accuracy in a fast-paced environment.

    • Tech-savvy with the ability to quickly adapt to new software and tools.

    • Reliable and punctual with a proactive approach to problem-solving.

    • Ability to work collaboratively in a team environment and independently when necessary.
