  • Responsibilities

    We are seeking a highly motivated and organized individual to join our team as a Faculty Talent Acquisition Coordinator (Administrative Coordinator III), reporting to the Director of Faculty Talent Acquisition. In this role, you will collaborate with various individuals such as Deans, Chairs, Physicians, Department Administrators, and Director of Faculty/Physician Talent Acquisition to support the recruitment process for URMC (faculty/physicians) leaders.

    As a Faculty Talent Acquisition Coordinator, you will be responsible for:

    • Acting as the primary liaison for all onsite candidate visits, which includes escorting candidates throughout their visit, ensuring interviews remain on schedule, and any other candidate needs are met.

    • Coordinating multiple-step scheduling for the interview processes for each candidate, managing competing calendar demands.

    • Planning and implementing travel arrangements, ordering candidate lunches, and coordinating dinner reservations, and building itineraries.

    • Ensuring effective communication, support, and confidentiality for all faculty and physician candidates.

    • Creating efficient processes and implementing systems to continuously improve logistics, hospitality, and workflow.

    • Collecting and compiling feedback from faculty members after each interview.

    • Posting job openings on various job boards to support the recruitment sourcing process.

    Other administrative tasks include:

    • Managing the Director of Faculty/Physician Talent Acquisition and Department calendar.

    • Ensuring billing/invoices are timely and charged to the appropriate department(s).

    • Ordering supplies and deliveries and is present at the Medical Center to receive the orders.

    Requirements:

    • 2-year degree or a combination of experience and training

    • 2 years experience performing clerical, secretarial, or administrative duties

    • 1 year of customer service experience

    • Ability to work onsite 2-5 days per week

    • Experience dealing with highly confidential information

    • Strong communication skills

    • Comfortable dealing with ambiguity and using available resources to bring forward solutions.

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

    Pay Range

    Pay Range: $18.10 - $25.35 Hourly
