    POSITION DETAILS

    The CUNY School of Medicine at The City College of New York (CCNY), is the only medical school in the City University of New York system. Our innovative curriculum allows students to complete both their undergraduate Bachelor of Science (BS) and Doctor of Medicine (MD) degrees in seven years. CUNY School of Medicine also offers a Master of Science degree in Physician Assistant Studies (PA). Our mission is to provide access to medical education to talented individuals from social, ethnic and racial backgrounds historically underrepresented in medicine and to develop health professionals committed to practicing in under-served communities with a special emphasis on primary care and reducing health disparities.     Reporting to the Administrative Manager, the Administrative Coordinator will be responsible for administrative work in support of projects and initiatives of the CUNY School of Medicine's Office of the Dean. The Administrative Coordinator will:

    • Schedule and provide administrative support for meetings: assist with the preparation of agendas and collect and disseminate meeting materials to all relevant parties.

    • Assist with the preparation and execution of teleconferences, seminars, and events; coordinate logistics, such as room set-up, audio-visual requirements, catering; compile and disseminate any related documents.

    • Process and ensure payment of invoices; reconcile and track expense accounts

    • Serve as a front-line ambassador to the campus community and visitors on informational matters; answer calls, email, and in-person inquiries; ensure front office coverage.

    • Draft and disseminate correspondence and emails.

    • Facilitate activities related to fundraising events

    • Work with the Dean and other administrators to support ongoing projects; monitor and perform necessary follow-up to meet project deadlines in collaboration with other Dean's Office staff.

    • May provide support for other members of the senior leadership team as needed and directed by the Dean;

    • Participate in and provide administrative support for special initiatives as assigned.

    QUALIFICATIONS

    Bachelor's Degree required.

    • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

    • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

    • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

    • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

    • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

    • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

    • May supervise office staff and student workers.

    • Performs related duties as assigned.
