  • Amentum is looking for experienced personnel to expand our health technology development support capabilities and offerings for the Advanced Research Projects Agency for Health (ARPA-H) as well as our Department of Defense (DoD) and other public health client space.

    We are interested in individuals who have experience supporting executive-level Government personnel at a federal agency. Administrative and/or travel personnel will provide Front Office support to an ARPA-H Mission Office, regularly interacting with Government leadership (i.e. the Office Director, Deputy Director, Assistant Director for Program Management [ADPM], technical Program Managers) to help execute and manage technology development programs.

    Responsibilities will include:

    Candidates would fill one of the two following positions

    Administrative Assistant:

    • Scheduling and organizing meetings; taking notes and minutes when required

    • Providing overall scheduling and calendar support to senior Government personnel

    • Organizing reports; providing assistance in tracking and organizing deliverables and action items

    • Providing administrative assistance to all members of a technical team as required

    • Developing and maintaining a strong, positive rapport with senior leadership, team members (Gov and contractor personnel), and the public

    • Creating, compiling, and editing computer-generated documentation including technical text and graphics

    Travel Specialist:

    • Preparing manual/traditional and other travel authorizations

    • Providing travel help desk support, applying knowledge of and experience in applying Department of Health and Human Services (HHS) travel policies, Federal Travel Regulation (FTR), and HHS Financial Management Regulations (FMR)

    • Providing expertise in researching and interpreting the FTR; Travel System Operations/Help Desk/Training; reviewing manually and system generated travel vouchers

    • Administering the Government Travel Credit Card (GTCC) program in accordance with HHS Financial Management Regulations (FMR)

    • Processing passport/visa applications

    • Researching the Foreign Clearance Guide (FCG); Commercial Ticketing Office (CTO) operations, and use of GSA City Pair airfare rates

    • Processing permanent change of station (PCS) travel authorizations and vouchers?

    Minimum Requirements:

    • The demonstrated professionalism, maturity, sound judgement, and excellent communication and interpersonal skills necessary for daily interactions with executive-level audiences in a dynamic, high-visibility Front Office environment

    • Associate's degree level education or higher in a related field or equivalent experience/certification in a field relevant to the position

    • At least 3 years or more relevant experience

    • Ability to work independently or in a team setting as circumstances dictate

    • Additional minimum requirements by position:

    • Administrative Assistant:

    • Strong spelling and grammar skills and ability to put documents in proper format

    • Prior experience supporting executive-level personnel

    • Travel Specialist:

    • Demonstrated knowledge of and proficiency in HHS travel policies, the Federal Travel Regulation (FTR), HHS Financial Management Regulations (FMR), and Travel Systems Operations

    • Demonstrated knowledge of the Government Travel Credit Card (GTCC) program

    • Demonstrated experience processing passport/visa applications

    • Familiarity with the Foreign Clearance Guide (FCG); Commercial Ticketing Office (CTO) operations and use of GSA City Pair airfare rates; processing permanent change of station (PCS) travel authorizations and vouchers

    Desired Requirements:

    • NIH or other federal grant program experience and/or familiarity with the DoD and/or HHS

    • Experience working at an ARPA agency

    • Hybrid and telework options are likely but residence within Washington DC metropolitan area.
