  • Job Description

    The Assistant Manager, Clinical Support Ops, works under the general direction of a Manager/Associate Director. The Assistant Manager oversees the operational, technical, and personnel activities in assigned departments. Supervise staff and day-to-day operations. Collaborates with physicians and key stakeholders to ensure procedures and processes promote operational efficiency and patient satisfaction.

    Oversee operational, administrative, workflow processes for assigned departments. Interview and provide hiring recommendations for staff. Oversee departmental orientation for new staff, provide staff training, and conduct inservices. Evaluate departmental and individual productivity and performance, complete performance appraisals, recommend merit increases, counsel and administer disciplinary actions and recommend termination when appropriate.

    Assign and review work to ensure quality, regulatory and fiscal compliance with appropriate regulations and department policies and procedures. Act as a resource to staff for problem resolution.

    Create staffing schedules, effectively monitors work flow and work volume and re-allocates to meet regular and special scheduling requirements. Ensure quality, productivity and service levels are met. Re-assign staff during peak volumes.

    Continually assess operational effectiveness, productivity, processes and Quality Improvement indicators. Develop and enhance procedures, practices, and policies for assigned areas. Review productivity reports and other metrics to identify trends and opportunities. Collaborate with leadership on process improvement opportunities; review and revise administrative procedures to ensure efficient and effective service delivery. Also is an active participant and contributes to performance improvement work groups.

    Interpret and enforce organizational policies and government and agency regulations pertaining to area of responsibility. Ensure staff compliance requirements have been met and complies with regulatory requirements. Ensure policies, practices and procedures are understood and followed, including development and/or refinement to improve results.

    Hold regular staff meetings, communicate information, new policies, practices and procedures and follows up on questions/concerns.

    Participate in provider and patient satisfaction including service recovery. Respond to, and resolve, patient complaints.

    Participate in monitoring and controlling operating expenses and budgets within assigned area of responsibility, such as area overtime, area expenses, and other financials

    Qualifications

    Educational Requirements

    High school diploma/GED required.

    Bachelor's degree in Business Administration, Health Sciences or other related field preferred.

    License/Certification: N/A

    Experience

    4 years experience in a patient support area or clinical support operations required.

    2 years Lead or Supervision experience required.
