    The Assistant to the Vice President and Deans provides confidential administrative support and assistance to the Vice President of Academic and Student Affairs, Dean of Academic Affairs, Dean of Community Partnerships and Student Success, and approximately 125 faculty. This position is expected to prioritize tasks to effectively manage office operations by maintaining the information flow, managing appointments and administrative calendars, answering phones, and distributing correspondence on behalf of the Vice President and Deans. This position coordinates activities on the administrator's behalf such as event planning and execution of events, act as liaison to both internal and external stakeholders, independently identify issues or problems within specific management areas, and research issues and find alternative solutions. This position supervises and provides work direction to student workers. This position is expected to exercise considerable judgment and discretion while managing documents and files that are highly confidential.

    Telework may be available, on an occasional basis, as the majority of the position requires a front-facing, on-campus presence.

    Minimum Qualifications

    • Knowledge of English to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence structure and respond to internal and external customers.

    • Skilled in standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify and protect them, as well as having content in the proper format and free of spelling or grammatical errors.

    • Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.

    • Customer service skills to respond effectively, professionally, and discreetly with a diverse range of populations at all levels of the organization regarding complex and difficult issues while making independent decisions regarding workload priorities.

    Preferred Qualifications

    • Previous executive level administrative experience with abilities to set priorities, organize and coordinate office operation.

    • Skilled in obtaining, organizing, and drafting administrative materials for public information or office use.

    • Experience in event planning and execution of events.

    • Commitment to diversity, inclusion and continuous learning/growth.

    • Ability to analyze a variety of data, select relevant information and integrate data into meaningful responses and reports.

    • Problem-solving skills necessary to troubleshoot and resolve issues independently and proactively.

    • Experience working with confidential information and understand the importance of maintaining confidentiality of private information.
