  • GENERAL PURPOSE

    The Hajim School of Engineering & Applied Sciences consists of six academic departments that serve over 1,600 undergraduate students. In collaboration with Hajim School deans and leaders in the College Center for Advising Services, the Assistant Director develops, executes, and assesses plans that improve current academic advising strategies, policies, and services, with an ultimate outcome of meeting institutional goals for student retention and timely graduation. The Assistant Director provides guidance and training to other academic advisors within the department, as well as in academic departments and student services offices. The Assistant Director is supervised by the Assistant Dean.

    JOB DUTIES AND RESPONSIBILITIES:

    30% - Advising Strategy

    With input from the Assistant Dean and the Director, College Center for Advising Services and/or their designate/s, plans strategically on matters regarding advising decisions, business processes, and policies.

    • Plans, measures, and assesses department's strategic goals around academic advising and student outcomes, employing the best practices and research in advising, retention, and student success.

    • Collaborates with leadership in the College Center for Advising Services, to provide direction and guidance in developing, implementing, and evaluating the Center's student success efforts.

    • Conducts qualitative and quantitative assessment of the student advising model and advising programs and services.

    • Oversees a budget that supports above efforts.

    • Directs others in the office (which may include staff supervision) whose work regards departmental and school goals.

    • Attends conferences on behalf of department leadership, benchmarks operations from like institutions, and reports changes in national education practices and trends. Keeps abreast of policies and compliance issues that impact student standing and success.

    25% - Caseload Management

    Manages a caseload of students, liaising with University offices. Devises strategic interventions with these offices to improve student outcomes. Triages issues on behalf of Assistant Dean.

    • Provides factual advisement on academic policies for a diverse caseload of students; serves as case manager for students requiring coordination from other College and/or University offices.

    • Triages matters on behalf of, and prepares cases for review by Assistant Dean, including student issues, appeals, and like matters. Prepares communications and appeals.

    • Collaborates with University offices whose policies directly impact students, such as the Bursar, career center, the counseling center, Disability Resources, Financial Aid, international student services, and the Registrar.

    25% - Directs Communications Strategy

    With input from, and/or on behalf of the Assistant Dean, leads in information exchange with academic departments, College and University offices, and their constituents.

    • Serves as the primary interface between the Hajim School Dean's Office, College Advisors, and the Hajim School Undergraduate Coordinators. Leads information exchanges among Hajim School Dean's Office staff, Hajim School departments, and other campus departments. Interprets and provides training on new policies, processes, and practices.

    • Provides knowledge transfer to functional leads and other staff from the UR Student project, and liaises with UR Student project staff, Dean's Office, and undergraduate coordinators to assess business process changes and training needs.

    • Represents the Hajim School on a variety of committees that influence student academic policies or that have as their intent the development or enhancement of student support services.

    • Liaises with College and University offices whose constituencies enquire about academic polices, such as Parent and Family Relations or Advancement.

    15% - Departmental Support for Advising Activities

    Coordinates department-wide advising activities that regard all students, or sub-populations, on behalf of Assistant Dean.

    • Directs departmental outreach efforts, such as those around midterm grades or major declaration.

    • Coordinates staff efforts to audit seniors' degree completion. With campus parterns, monitors and supports students who do not graduate on time.

    • Directs staff in coordinating plans, appeals, and other documents regarding financial aid policies. With the College Center for Advising Services, monitors and supports students who lose, or are at risk of losing, federal and/or institutional aid.

    • Leads end-of-semester review that results in students' placement/removal from academic probation, and/or separation from the University.

    5% - Program and Event Support

    Assists in department-wide programs and events.

    • Assists in the planning and execution of school-wide events, including but not limited to new student orientation, transfer student week, Design Day, events for prospective and enrolling students, and Commencement Week activities.

    QUALIFICATIONS:

    • Bachelor's degree required.

    • Master's degree in education, counseling, engineering, or related field preferred.

    • Five years of advising experience and program management in higher education, or closely-related experience and clear evidence of a thoughtful decision to move into advising work, or equivalent combination of education and experience required.

    • Demonstrated experience with, and commitment to, diversity, equity, and inclusion efforts and working with a diverse student population. Commitment to student-centered advisement required.

    • The individual must have the ability to work independently, develop strategies and action plans, interpret complex policies, solve problems, and manage projects that enable individual departments and the School to improve internal operations and practices required.

    • The individual must be able to establish and maintain effective working relationships at all levels, demonstrate cultural sensitivity and cross-cultural communication skills, present clear and concise oral and written communications, demonstrate flexibility in decision-making and prioritizing projects, and prepare a variety of narrative documents required.

    • Preferred skills/background include background with Workday Enterprise systems, institutional research, FileMaker Pro, and intermediate Excel knowledge; strong writing and analytic skill preferred.

    Pay Range

    Pay Range: $54,808 - $76,752 Annually

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
