GENERAL DUTIES
Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.
There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed.
Maximum tenure for any employee in this hourly position is 1040 hours per year.
Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required.
Types letters, memoranda, charts, and similar materials.
Acts as cashier.
Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Zicklin School of Business is hiring a College Assistant to assist with day-to-day operations of Global Programs. Candidates must be available to work for up to 20 hours per week, Monday - Friday, during the period of 10am - 6pm. Pay for this position will be $22 per hour.
RESPONSIBILITIES:
Onboarding and Administrative Support:
Collaborate with TAs, GAs, faculty, and staff involved in Global Programs to complete necessary new hire/rehire paperwork.
Liaise with the Controller's Office for processing hire packages and facilitate the onboarding process for new hires.
Prepare one-time payment Personnel Action Forms as required.
Travel Coordination and Documentation:
Assist faculty and staff in preparing Travel Authorization Requests and Expense Reports.
Assist the international program manager in maintaining standardized guidelines for submitting travel-related forms.
Work closely with the Zicklin Dean's Office and the Controller's Office to ensure accurate and timely completion of travel requests.
Purchasing and Financial Reporting:
Complete purchasing forms for catering services and commodities, managing requests, purchase orders, receipts, etc. to be approved by the international program manager.
Collaborate with internal offices and external vendors to reconcile differences between purchase orders and invoices.
Run various financial reports for global program accounts.
Invoicing and Funds Transfer:
Assist the international program manager in preparing invoices for partner schools and initiating funds transfer request forms.
Collaborate with different units and offices to ensure seamless fund transfers.
Event Planning and Coordination:
Estimate event costs, monitor expenses, and submit space reservations into the system.
Coordinate with Facilities and Public Safety for event support.
Data Entry Support:
Assist Global Programs with data entry tasks, including entering waivers for preliminary courses
for newly admitted students and transcript texts for graduating students into the system.
General Support:
Perform other duties as assigned.
MINIMUM QUALIFICATIONS

Preferred Qualifications
Proficiency with Excel, Word, PowerPoint, and Outlook
Must be able to work late afternoons as required by event schedules
Bachelor's Degree
Excellent communication and interpersonal skills
Strong organizational and time management skills
Ability to work independently and as part of a team
Attention to details and proactive problem solving
Proficiency in Mandarin Chinese is a plus
COMPENSATION
$22 per hour.
