OverviewThe Executive Assistant to the President is a skilled and professional communicator who supports the Commonwealth Senior Living Senior Leadership Team (SLT). This position requires superior organization, coordination, and facilitation skills to ensure effective outcomes. He or she will exhibit strong communication skills, exceptional planning capabilities, and will be essential to the effectiveness of the SLT’s daily activities and strategic plans. The Executive Assistant will have a highly professional, warm/personable style, which fosters trust and cooperation. Further, he or she will have a candid, concise, and open approach to daily interactions with the SLT and other stakeholders associated with Commonwealth Senior Living. He or she will have demonstrated capabilities to create, maintain and analyze reports/graphs that provide value-added information for the SLT.
Qualifications
Bachelor’s degree preferred; Associate degree required
Confidentiality is a must – this role requires discretion with a variety of tasks. He or she processes confidential matters and either resolves or refers appropriately.
Polished professional having progressively significant experience at least 10-12 years supporting multiple fast-paced executive leaders with varying styles in a relevant capacity
Must exhibit maturity to communicate with a diverse clientele
Demonstrated success where personal results and accountability are evident
Experience working for a fast-paced company in the private sector
Highly proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Adaptable and flexible with constantly changing demands
Flexibility to work late hours and off hours as needed, with some overnight travel
Ability to operate independently and remotely
Employs a collaborative approach
Areas of Primary Responsibility
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Review reports and contracts for consistency and edit as needed.
Supports all Senior Leadership Team Executives (CEO, CFO, COO, and SVP’s) as needed.
Prepares reports by collecting and analyzing information.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Ability to plan, execute, and manage major offsite events and meetings throughout the year adhering to budget requirements.
Negotiate and contract for corporate hotel rates, group events, company gifts, etc.
Experience in company growth as it relates to office expansion. Ability to plan, orchestrate, and manage major moves. This includes but is not limited to working with utility companies, furniture order and delivery, as well as communicating appropriately and succinctly to all Home Office staff.
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains strict customer confidence and protects operations by keeping information confidential.
Secures information by completing data base backups.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
