    Janssen Biotech, Inc., part of the Janssen Pharmaceutical Companies of Johnson & Johnson, is recruiting for an Executive Assistant to support the President, Solid Tumor, U.S. Oncology located in Horsham, PA.

    Per our J&J Flex Policy, the expectation for this position is to work in the Horsham, PA office 3-4 days per week and work from home 1-2 days per week.

    This is an exciting administrative opportunity to support the new President, Solid Tumor, U.S. Oncology. This position includes complex administrative duties and projects, requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems. You will be a critical, highly valued member of the team and will learn about some of the most exciting aspects of the pharmaceutical marketplace.

    The primary responsibilities of the position will include:

    • Manage complex calendars, having a keen sense of priorities and time management to ensure maximum effectiveness of time use by the President.

    • Arrange complex domestic and international travel arrangements and manage expense reports.

    • Coordinates Leadership Team meetings and other staff and leadership activities of the President; coordinates all materials, tracks action items, and follows up on activities of direct reports and other staff on behalf of President.

    • Proactively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff with relevant reminders of upcoming events and projected related deadlines.

    • Prepare and edit organizational charts, maintain SharePoint information, and upload/update files as appropriate.

    • Provide excellent collaboration and teamwork skills while working with the Oncology Administrative Team as well as other administrative staff to accomplish departmental activities and cohesiveness to the department.

    • Acts as liaison between Leadership Team and Organizational Leads.

    • Closely partner with others to successfully plan and execute large organizational meetings (i.e. Town Halls, culture-related activities).

    • Coordinates recruiting efforts with Human Resources (i.e. assists with job descriptions, postings, interviews) as necessary.

    • Assists with onboarding and/or transition of new leadership team members.

    • Provides guidance and leadership to the broader U.S. Oncology Solid Tumor administrative support.

    • Partners closely with U.S. Oncology, Hematology Executive Assistant.

    • Manages office supplies and troubleshoots workplace facility/technology issues.

    • Prepare and handle highly confidential correspondence.

    • The individual selected will maintain security and confidentiality of highly sensitive documents, information, and proposals.

    Qualifications

    Education:

    • A minimum of an Associate's Degree is preferred.

    Required:

    • A minimum of 7 years' administrative experience in executive level support.

    • Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, and rapidly changing environment.

    • Ability to multi-task and work under minimal supervision.

    • Excellent verbal and written communications skills.

    • Proficiency in Microsoft OneDrive (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).

    • Experience managing complex calendars via Outlook.

    • High sense of urgency while maintaining a high degree of professionalism.

    • The ability to exercise excellent judgment and a high degree of emotional intelligence.

    • Organization skills and ability to establish and revise priorities within scope of responsibilities.

    • Ability to be flexible, adapt, respond to shifting priorities and be resourceful in a fast-paced and quick-changing business environment.

    • Ability to use good judgment and work independently, under minimal supervision.

    • Ability to multitask and prioritize and act quickly to ensure that responsibilities are executed in a timely manner.

    • The ability to demonstrate professionalism in your communications and ability to maintain confidentiality.

    • Ability to demonstrate that you can partner effectively with the team that you support as well as work collaboratively in our administrative assistant team.

    • Position requires a highly organized, self-motivated executive assistant able to interface with diverse people and situations.

    • Must possess exceptional interpersonal skills and have the ability to interact with senior/executive level management and engage successfully with all levels of the organization.

    • This position is in Horsham, PA and will require up to 10% travel.

    This position is overtime eligible.
