  • Description We are offering a contract to hire employment opportunity for an Executive Assistant in Long beach, California. This role involves supporting the CEO with time management, scheduling, event management, and liaising with clients. The Executive Assistant will also be responsible for data organization, drafting documents, and managing marketing materials.

    Responsibilities

    • Actively manage the CEO's calendar, ensuring timeliness and efficiency

    • Draft and manage documents for client contracts

    • Schedule clients and manage sales calendars for optimal operations

    • Manage and organize events for clients and the team

    • Utilize Microsoft Excel to effectively organize data and assist in marketing endeavors

    • Lead generation and distribution of marketing materials to our client base

    • Act as a liaison between clients and the CEO, ensuring smooth communication

    • Utilize Google Suite (Google Docs, Gmail, Google Calendar) for document management, communication, and scheduling tasks

    • Deliver mails and packages to clients as part of marketing efforts

    • Use skills in Concur, CRM, Microsoft Office Suites, Microsoft Outlook, Calendar Management, Correspondence, C-Suite, Documentation, Content Marketing, and Scheduling to perform tasks efficiently. Requirements - Minimum of 2 years of experience as an Executive Assistant or in a similar role.

    • Proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook.

    • Experience with CRM and Concur is desirable.

    • Ability to manage calendars and coordinate meetings or events effectively.

    • Excellent skills in correspondence and documentation.

    • Experience in supporting C-Suite executives is a plus.

    • Knowledge of content marketing strategies.

    • Familiarity with Google Apps such as Google Calendar, Google Docs, and Google Sheets.

    • Capable of managing and maintaining scheduling efficiently.

    • Responsibility for delivering mail in a timely and organized manner.

    • Strong communication skills, both written and verbal.

    • Excellent organizational and multitasking abilities.

    • Ability to maintain confidentiality and act with discretion.

    • Demonstrated ability to work collaboratively in a team environment.

    • Strong problem-solving skills and ability to make decisions under pressure.

    • Proactive and able to work independently with minimal supervision.

    • High degree of professionalism and strong work ethic.
