  • GENERAL PURPOSE

    The Program Administrator develops the business management practices, planning mechanisms, control systems, and organization necessary for the management of the URMC Office of Wellbeing and the attainment of its strategic priorities. He/she organizes and analyzes the information necessary for a clear understanding of the department's operations and monitor's departmental progress towards goals. The Program Administrator develops the management reporting systems necessary to keep the Chief Wellbeing Officer (CWO) and other stakeholders informed of the department's activities and serves as the department's financial officer developing and managing operating and capital budgets.

    RESPONSIBILITIES:

    Works collaboratively with the CWO, wellbeing team and medical center leadership to develop strategic initiatives in support of a successful wellbeing vision for the Medical Center; e stablishes strong relationships with key individuals/offices among URMFG and SMH administrative and clinical leadership; l eads the implementation of strategic initiatives, driving the work of the Wellbeing Office and team to advance these priorities:

    • Participates with the CWO and Associate CWO in the development of the wellbeing program; leads the implementation of initiatives and ensures that project plans are executed within established timeframes.

    • Collaborates with key stakeholders in the medical center to coordinate and assure timely execution of action plans across multiple priorities identified by the office; ensures meetings related to execution of those plans remain focused on strategic priorities.

    • Leads the development of annual business plans; participates in the planning for new or expanded programming or ad hoc initiatives.

    • Represents the department at meetings relative to operational and strategic decision-making with URMC departmental and executive leadership.

    Ensures the department's administrative structure, infrastructure, and work processes support mission-specific goals and performance metrics:

    • Establishes the administrative structure for the Wellbeing Office and oversees the Office's operational functions; fosters an environment of

    effective communication and identifies and enables opportunities to improve efficiency and effectiveness of the team; establishes departmental policies to meet operational needs; ensures compliance with University and Medical Center requirements.

    • Collects and analyzes data and develops reports to support performance monitoring and to identify emerging operational improvement opportunities; tracks the team's productivity and develops projections for budgeting and other purposes. Identifies and reports on key metrics to support successful management of the department.

    • Partners with the CWO to conduct workforce planning and define faculty roles and responsibilities; develops a faculty and staff recruitment strategy that ensures a Wellbeing human capital infrastructure positioned to deliver on strategic priorities.

    • In partnership with the assigned HR Business Partner, oversees departmental human resources functions regarding structure, employment, performance management, compensation review, promotions, disciplinary actions and terminations; coordinates salary recommendations and monitors staff compensation levels to ensure equity.

    • Develops responses to internal requests relative to data, policy, regulations, procedures and other information; drafts other critical communications for external and internal audiences on behalf of the team, as needed.

    Serves as the financial officer for department:

    • Prepares the operating budget and manages the annual budget submission process; assures fiscal control through a reliable system of expenditure and revenue accounting; approves expenditures.

    • Prepares financial reports and recommendations for the CWO related to performance to budget and long-range financial planning and projections.

    • Coordinates capital budget planning including furniture, office equipment, and equipment inventory replacement program; responsible for departmental space planning and leads the completion of the annual equipment and space surveys.

    • Maintains close liaison with Medical Center Finance to ensure the Office's effective financial management, achieve budget alignment with enterprise strategic objectives, and access forecasting resources that contribute insights to long-term planning. Oversees preparation of ad hoc business plans.

    QUALIFICATIONS:

    • Bachelors Degree required.

    • Graduate degree, preferably in Health Administration or Business Administration preferred.

    • 8 years of relevant work experience required.

    • Work experience at a managerial level, preferably in an educational institution preferred.

    • or equivalent combination of education and experience required.

    • Ability to handle confidential information with a high level of professionalism and discretion required.

    • Proactive, flexible and strong problem-solving and decision-making ability required.

    • Strong interpersonal skills and the ability to interact and communicate with staff at all levels required.

    • High degree of emotional intelligence required.

    • Ability to work both independently and in a team setting required.

    • Extremely organized and detail-oriented with the ability to work in a complex, executive environment required.

    • Ability to manage multiple projects and priorities required.

    • Ability to analyze and comprehend complex information required.

    • Strong communication skills required.

    Pay Range

    Pay Range: $84,718 - $127,088 Annually

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
