Our perfect candidate will thrive in a fun and casual environment, pay it forward daily, and add value to the company bymanaging Franchise Administration activities including coordinating the annual update to the Franchise Disclosure Document (FDD), managing the smooth and accurate flow of all franchise agreements from inception and approval to full execution, monitoring compliance to the contracts, communicating with outside counsel as necessary, assuring that procedures and processes are documented and up-to-date, and coordinating with other HBH departments on Franchise processes, procedures, compliance issues and communications.

    NOTE: We have a hybrid work week with three days in the office and two days working from home.

    WHAT THIS ROLE DOES

    • Manages the process for new franchise agreements, transfers of ownership, renewals, terminations and ownership modifications while ensuring timely attention to contract requirements.

    • Assures that various compliance issues, such as leases, insurance requirements, and adherence to the contract, are properly monitored. Takes action as appropriate to enforce compliance requirements.

    • Prepares and approves all franchisee correspondence, including default notices as necessary. Maintains library of templates.

    • Updates the Franchise Disclosure Document (FDD) annually with review by General Counsel and the Franchise team.

    • Prepares Franchise Agreement Addendums for any Brand directives and Franchise community initiatives, and defines the process for completion.

    • Maintains and updates the Franchise database system that retains franchisee, entity and contractual information. Provides information to the field, as needed, and performs reporting.

    • Collaborates with HBH departments, including Accounting, to guide them on Franchise procedures, communications, issue resolution and compliance to the Franchise Agreement.

    • Provides clear and articulate communications to the Franchise community with regard to Brand updates and regular communications.

    • Documents and updates procedures relating to new contracts and compliance.

    • Acts as liaison between the Franchise department and outside counsel.

    • Aids in the pre-qualification of franchisee prospects.

    • Stays informed and up-to-date on company policies and practices relating to Franchise Administration as well as industry updates.

    • Helps educate staff and impacted departments on Franchise operations, standards, legal requirements and processes.

    • Assists with Franchise conference planning.

    • Other duties as assigned.

    YOUR TRACK RECORD

    Bachelor's degree and 4+ years' experience in Franchise Administration. Strong skills with Excel, Powerpoint and Word. Exceptional organizational skills and pays attention to detail with contracts and franchisee information. Ability to multi-task and work in a fast-paced environment. Strong verbal and written communication skills.

    Legal Support and Compliance

    • Completes necessary documents and updates franchise agreements in a timely manner.

    • Issues the FDD update within 120 days of fiscal year end.

    • Comprehends legal documents, reaching out to attorney partners when necessary.

    • Maintains cooperative relationship with attorney partners.

    Franchise Administration Management

    • Facilitates the processing of Franchise legal documents from inception to final execution in a timely manner and assures that all processes are complete as required.

    • Handles information requests from prospects, customers, franchisees and business consultants effectively.

    • Prepares effective and professionally written compliance communication, as required.

    • Maintains and updates data in the Franchise database system.

    • Works productively with other departments in regard to Franchise laws, requirements, practices and franchisee needs.
