    We are seeking a highly organized and proactive individual to join our team as an Office Administrator & Dispatch Coordinator. Our client is a well respected environmental compliance company dedicated to managing our community's waste streams in a sustainabe and responsible manner, with the goal of minimizing environmental impact, conserving,resources, and protecting public health. The Office Administrator & Dispatch Coordinator will play a pivotal role in ensuring the smooth and efficient operation of our office and dispatching tasks for our waste management services. This position requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively. Qualifications:

    • Proven experience in office administration, dispatch coordination, or a related field.

    • strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.

    • Excellent communication skills, both verbal and written, with a customer-focused approach.

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.

    • Ability to adapt quickly to changing priorities and work independently with minimal supervision.

    • Knowledge of waste management or logistics operations is a plus but not required.

    Education

    • High school diploma or equivalent required.

    • Additional certification or training in office administration, dispatching, or related fields preferred.

    Responsibilities

    • Manage day-to-day administrative tasks including answering phones, responding to emails, and handling correspondence.

    • Receive incoming service requests and prioritize tasks based on urgency and operational efficiency.

    • Coordinate with drivers and field personnel to schedule and dispatch.

    • Track and monitor the status of service requests, ensuring timely resolution and customer satisfaction.

    • Communicate effectively with clients to provide updates on service schedules, address inquiries, and resolve any issues or concerns.

    • Maintain accurate records of service requests, dispatch activities, and customer interactions using our database systems.

    • Assist with Accounts Receivable and Collections efforts as needed.

    • Maintain office supplies inventory and place orders as needed.

    • Assist with scheduling meetings, appointments, and travel arrangements for management and staff.

    • Oversee office cleanliness and organization.

    • Generate reports on dispatch performance, service utilization, and customer feedback to identify areas for improvement.

    • Collaborate closely with other departments such as operations, finance, and customer service to streamline processes and enhance cross-functional communication.
